Job Description

Accounts Payable, Purchasing & Inventory Coordinator



This role plays a key part in ensuring accurate vendor payments, efficient purchasing, and reliable inventory control to support production schedules.

Accounts Payable



Process volume vendor invoices related to raw material, parts, and service Match invoices to purchase orders and receiving documents (3-way matching) Prepare and process payments in accordance with payment terms and schedule Reconcile vendor statements and resolve pricing or quantity discrepancies Review and process all Credit Card Statements, prepare entries for posting Maintain accurate AP records and filing system

Purchasing



Create and issue purchase orders for raw material, components, and supplies Communicate with vendors regarding pricing, lead times, and delivery schedules Follow up on open purchase orders to support production timelines Scheduling transportation from suppliers including custom clearance documents Maintain vendor files and purchasing documentation including Safety Data Sheets

Inventory



Monitor inventory levels for raw material, WIP and finished goods Assist with inventory adjustments, cycle counts, and year end physical counts Investigate inventory variances and work with production teams to resolve issues Ensure accurate inventory data within the ERP system including UOM calculations Maintain Excel Cost sheets for additional Sales support vs ERP system costing

Qualifications & Experience



2-3 years experience in accounts payable, purchasing and inventory control within a manufacturing environment Understanding of manufacturing workflows, bills of material, and inventory movement Experience with ERP systems (eg Sage 300, Dynamics, etc) Strong attention to detail and ability to manage multiple priorities Proficient in Microsoft Excel and excel in mathematical solutions Strong communication and problem-solving skills
