Accounts Payable & Office Administrator

Job Description

BASIC FUNCTIONS:



Review incoming accounts payable invoices, match to PO's, get approvals, verify coding Create and issue PO's upon request and receipt of PO Request Form Ensure all invoices are coded to Job specific PO's Key in billable 3rd party invoices into AP system Respond to vendor/suppliers queries, manage supplier relationships Cheque runs / Payment of invoices in a timely manner Review and reconcile supplier statements to TVE accounting records Monthly rents and online payments Visa, collect receipts match to statement and key into A/P Follow-up monthly with all PO's and close ones that are fulfilled Maintaining a PO log Manage the front reception duties: answer and direct incoming phone calls, salesmen, mail, etc. Respond to public inquiries, answer general inquiries, professionally greet all guests and clients Arrange travel arrangements as required (hotels, flights, and car rental for crews and staff) Book hotels and bussing/transportation requirements for shutdowns Prepare job boxes and office necessities for jobsites Organize and file job boxes/safety when returned from jobs, responsible for re-stocking supplies returning from projects Maintain an adequate inventory of office supplies Coordinate the repair and maintenance of office equipment (such as maintenance and repair) Maintaining a clean office environment, including kitchen, supply room and boardroom Responsible for recycling and shredding Receive and distribute incoming mail, and prepare outgoing mail for delivery, arrange for couriers Ensuring internal messages/communication is delivered within Head Office. (eg. Lates, absences) Assist in the planning and preparation of meetings, conferences and conference telephone calls, records the minutes Assist in resolving issues/concerns or direct them to the appropriate resource Develop and maintain a current and accurate filing system Provide administrative services to other departments as necessary Assist with other duties as required.

EDUCATION AND EXPERIENCE:



Proven working experience as an Administrator Excellent accounting software user and administration skills Experience with Vista software an asset
Job Types: Full-time, Permanent

Pay: $22.00-$26.00 per hour

Expected hours: 40 per week

Work Location: In person
