As we continue to expand, we are seeking a dedicated and detail-oriented
Accounting Assistant
to join our team and contribute to the accuracy and efficiency of our financial operations.
About the Role
The Accounting Assistant will play a key role in supporting day-to-day financial transactions and general office administration. This role requires a strong understanding of accounts payable and receivable processes, proficiency in financial systems, and the ability to work independently in a structured environment.
Reporting to the Financial Coordinator, the Accounting Assistant will be responsible for a variety of accounting, administrative, and operational tasks essential to the financial health and efficiency of our organization.
Key Responsibilities
Accounting & Finance:
Record client payments via Pre-Authorized Debit (PAD)
Follow up on outstanding mortgage payments and maintain accurate receivables records
Process cash transactions and Electronic Fund Transfers (EFTs)
Verify and input bills; ensure timely and accurate payments to vendors
Reconcile bank statements, vendor accounts, and client transactions
Prepare and post journal entries; support month-end close processes
Perform cheque deposits and basic bookkeeping tasks
Maintain organized financial documentation and assist with audit preparation
Human Resources & Benefits:
Administer group benefit programs and assist with HR-related tasks, such as record keeping and employee onboarding support
Office Administration:
Order office supplies, manage inventory, and coordinate courier services
Handle incoming calls, manage team calendars, and provide general administrative support
Support internal communications and cross-functional coordination
Perform additional accounting and administrative duties as assigned
Education
Diploma or degree in Accounting, Finance, Business Administration, or a related field
Coursework or training in accounts payable, bookkeeping, or financial reporting is an asset
Additional certifications (e.g., CPA pathway, bookkeeping designation) are considered a plus
Required Qualifications
Minimum 3 years of experience in accounting or office administration roles
Proficient in
QuickBooks Online
and
Microsoft Excel
(including PivotTables, VLOOKUP, conditional formatting, etc.)
Familiarity with CRM or database systems
Strong attention to detail and accuracy in data entry and reconciliation
Excellent organizational and time management skills
Effective verbal and written communication skills
Ability to work independently while meeting deadlines in a structured environment
Proficiency in
English, Cantonese, and Mandarin
(verbal and written)
Nice to Have
Prior experience in a small business or financial services environment
Understanding of Canadian accounting principles, including HST/GST and basic compliance
Experience supporting external audits or preparing financial documentation for review
Work Environment
On-site role at our Markham office
Monday to Friday, 9:30 AM - 5:30 PM
