BASIC QUALIFICATIONS:




Diploma in Office Administration - Executive with three years' experience Diploma in a related field with five plus years experience in an office setting. OSSGD or equivalent with ten plus continuous and recent years experience in an office setting. Basic knowledge and understanding of relevant legislation, regulations and guidelines, Demonstrated excellent computer skills - Microsoft Office, Microsoft Word, Microsoft Excel. Excellent organizational skills Excellent conflict resolution and problem-solving skills Excellent interpersonal and customer service skills Excellent oral and written communication skills Excellent administrative and research skills Understands the importance of Confidentiality and ability to work with tact and discretion. Knowledge of the Six Nations community, culture and local lands and membership issues. Knowledge of the SNGR Community Plan Must submit a favorable criminal reference check. Must be willing to work flexible hours.

POSITION TITLE

: Executive Coordinator (LANDS MEMBERSHIP)

REPORTING RELATIONSHIP:







Reports to and receives direction from the Sr. Manager of Lands Membership.




PURPOSE AND SCOPE OF THE POSITION


==========================================





The purpose of this position is to provide confidential executive level administrative support and coordination for the Sr. Manager of Lands Membership.





The role will provide operational support and technical assistance to the Sr. Manager of Lands Membership related to the administration of all on-Reserve lands and all membership responsibilities under the Indian Act, regulations, ISC policy directives, the SNGR Community Plan and local policies and procedures.







KEY DUTIES & RESPONSIBILITIES

Technical Functions:



Assists the Sr. Manager of Lands Membership in the creation, updating and maintenance of the Departmental Strategic Plan. Added
+ Coordinates all areas of administration pertaining to the effective and efficient operation of Lands and Membership matters.
+ Coordinates the reporting preparations and submissions to Indigenous Services Canada for the Sr. Manager of Lands Membership.
+ Organizes and prepares the Sr. Manager of Lands Membership for attendance of the various committee/community/internal and external meetings upon request.
+ Assists in the preparation of Briefing Notes for Built Environment, Climate Adaptation and Lands Membership Committee (BECALM) meetings and submits them for Agenda Review Team meetings.
+ Assists in the preparation of Briefing Notes for Political Liaison and or other SNGREC political meetings.
+ Assists the Sr. Manager of Lands Membership with preparing executive summary reports as assigned by the BECALM Committee and / or Council on issues impacting on the Six Nations of the Grand River members. This may include research not limited to literature reviews/archival records and case law.
+ Assists Sr. Manager of Lands Membership in organizing for individual staff evaluations.



Act as resource to Sr. Manager of Lands Membership and department staff regarding administrative matters to ensure quality and controls as per policies and procedures. Proactive in identifying barriers, trends or potential risks and recommends discussion points to the Sr. Manager Lands Membership. Further, provides leadership in facilitating and implementing appropriate initiatives as follow up. Prioritizes incoming correspondence and summary to the Sr. Manager of Lands Membership. Attend Indigenous Services Canada (ISC), National Aboriginal Land Managers Association (NALMA) and Ontario Aboriginal Lands Association (OALA) training as required or any other training to aid in the growth within the Lands Membership Department.

Communications Functions:

Ensures that Six Nations Lands Membership reflects a high degree of professionalism in all communications, interactions and system processes Liaise and interact with External agencies, First Nation organizations and Indigenous Services Canada as requested Liaise with other community service agencies and the public on behalf of Six Nations Lands Membership as directed. Plans, organizes and directs (with staff input) major functions and activities of Six Nations Lands Membership as requested by the Sr. Manager of Lands Membership Maintains working knowledge of Six Nations Employment Policy to support the Sr. Manager Lands Membership so that staffing matters are handled according to policy on a consistent basis Maintains knowledge of the SNGR Emergency Plan and role if any, by the Lands Membership department.

Administrative Functions:

Assist in the creation and updating of all policy and procedures to establish and maintain the Lands and Membership office. Assists in organizing and maintaining the paper and electronic filing system as per the requirements for Indigenous Services Canada and local policies and procedures. Receives all invoices, codes to appropriate GL Account, Submits to Financial Analyst electronically on a weekly basis. Maintains the annual budget internally via Teams for reference and crosschecking against annual budget. Attends meetings as requested with Sr. Manager Lands Membership and Financial Analyst, and Sr. Office Assistant as required regarding the budget, deposits and any financial reports. Provides functional directions to Lands Membership staff as directed by Sr. Manager Lands Membership. May perform clerical duties as required for fill in vacancies. May perform customer service duties, including telephone operations, scheduling appointments, referrals, greeting clients and visitors as required for fill in vacancies.
