Who We Are:
Nova Scotia Legal Aid Commission (NSLAC) delivers legal aid services throughout the province, providing some level of help to all Nova Scotians with a focus on assisting those who are vulnerable and historically disadvantaged. NSLAC's focus is in the practice areas of criminal, family, and social justice law.
NSLAC employs staff in 25 offices and 3 sub-offices throughout the Province. Staff Lawyers help thousands of clients every year and spend much of their time in court. They are committed to helping overcome historical barriers to access to justice. Staff Lawyers have litigated many important cases to protect the rights of individuals.

Primary Functions:
TheSenior Executive Coordinator (SEC) position will report to the Deputy Executive Officer (DEO). The SEC is responsible for leading and coordinating a broad range of activities and functions and ensuring an efficient and effective operation of the Executive Office. The SEC is responsible for planning and coordinating activities in support of NSLAC's strategic service and operational requirements. Independent judgment, professionalism and confidentiality are required to plan, prioritize, organize, analyze information, assess options, and make recommendations to the DEO as appropriate. The SEC's work plays an important role in the implementation of NSLAC's strategic objectives.
Duties and Responsibilities:
Drafts, tracks, and completes internal and external correspondence, reports, letters, and other documentation as required.
Provides administrative support to the Commission's Appeal Committee.
Regularly updates the Big Case Management system, and provides support for State-Funded Counsel matters, and back-up support for After-hours Telephone Duty Counsel.
Tracks Contribution Agreements, disbursement approvals (over $1,500), and the Certificate Lawyer Roster.
Coordinates and organizes in-house professional development, meetings and conferences.
Represents the Executive Office to internal and external representatives and facilitates the resolution of inquiries.
Works closely with the DEO keeping them well informed of priorities and requests.
Coordinates the day-to-day activities of the DEO by liaising with the management team, the public, representatives of government departments, stakeholder organizations, judiciary, and other justice partners.
Works collaboratively with other members of the Executive Office in planning and coordinating key activities including but not limited to research, scheduling of appointments, filing and tracking of documents and internal/external inquiry follow up.
Gathers and analyzes information, assesses options, writes reports, and makes recommendations as appropriate, with an ability to strategically frame data.
Supports project coordination by reviewing documentation to ensure deliverables are completed while maintaining compliance with required policies, standards, and procedures.

Ability to work independently, take initiative, and exercise sound judgement and discretion in handling sensitive and/or confidential matters.
Builds and maintains effective working relationships through strong interpersonal and communication skills, including demonstrated experience successfully collaborating with individuals from diverse backgrounds.
Demonstrated excellence in organization, time management, and attention to detail, with the ability to manage complex priorities and competing deadlines.
Proven ability to write clear, concise, and impactful reports, with experience in data analysis and interpretation to support strategic decision-making.
Demonstrated ability to communicate effectively, both verbally and in writing.
Skilled at managing high volumes of digital communication, with the ability to assess urgency, triage effectively, and prioritize in alignment with organizational goals.
Experience and proficiency with computer software including legal research applications, case management systems, MS Office (Word, Excel, and Outlook), and Adobe.
Prior experience supporting Boards, Commissions, or other governance bodies is considered an asset.

Qualifications:
Graduate of a post-secondary institution or a recognized two (2) year or more paralegal program or equivalent.
Minimum of five (5) years of substantial executive-level administrative work experience.
