Reporting to the Manager, Work Integrated Learning (WIL), the WIL Technology Officer configures, builds, tests, launches, trains, and maintains the Collegexe2x80x99s Work Integrated Learning (WIL) and Career software platforms.
WIL and Career platforms may include but are not limited to job boards, contact management, events, collection of required forms, reporting, and learning management systems. Platforms are accessed and used by multiple stakeholders including learners, alumni, staff, faculty and industry.
The incumbent is also responsible for reporting, troubleshooting, user support, training, creating and maintaining up-to-date training and instruction materials for all stakeholders, and managing access permissions.
This role:

  • Consistently seeks and identifies areas in process and user experience for continuous improvements.
  • Will research new and existing technologies and make recommendations on how they can be leveraged for improvement.
  • Contribute to the development, implementation, training, execution and monitoring of new process and continuous improvement changes where technology is incorporated.
Position responsibilities and accountabilities include but are not limited to:Continuous Improvement
  • Understands current processes and continually seeks areas for continuous improvements to process and user experience.
  • Research and identify existing and new technologies and make recommendations on how they can be leveraged for improvement.
  • Contribute to the development, implementation, training, execution and monitoring of new process and continuous improvement changes where technology is incorporated.
  • Develop project plans and manage development and implementation project timelines and deliverables.
  • Trains staff on new technologies and processes to ensure successful adoption.
  • Monitors progress manages risk and ensures key stakeholders are kept informed about progress and expected outcomes.
System Configuration and Maintenance
  • Works with vendors and assigned internal staff to configure and build software
  • Conduct ongoing database testing and documentation through various phases of database configuration and maintenance.
  • Collaborates with IT teams to ensure effective integration of technologies.
  • Creates ways to review and ensure data integrity for those using the system.
  • Consults and works collaboratively with Information Technology Services as required to report and track database issues and test new developments.
  • Works on campus wide information technology requirements such as how to coordinate data transfer from Orbis
  • Develops recommendations for current and future development of the Orbis database and other technology used by WIL Services and other Student Services areas connected to Orbis. Services.
  • Provides recommendations related to the day-to-day business concerning the current and future configuration and technology tools required for WIL administration.
  • Works with WIL Services to develop strategies and action plans to address customer service and department needs and issues.
Maintenance and development of website, online systems and platforms for WIL Services
  • Develops and maintains WIL Services statistical tracking systems and forms
  • Responsible for coordinating cyclical updates, creating and pulling reports and troubleshooting/ supporting teams with technical issues as required.
  • Customizing and testing the content of WIL Prep Modules and other Learning Management Platform systems
  • Maintains all WIL Services online content as directed (Ex: CMS web-based, My Success Hub, videos, resource links).
  • Develops templates and /or adheres to established templates for internal communications within Bow Valley College guidelines.
  • Monitors future trends and developments in online technology platforms on campus.
WIL System Onboarding and Technical Support
  • Serves as the primary resource for employees regarding the Orbis system across Student Services or other technology related to WIL.
  • Leads staff and faculty training regarding the Orbis database and other technology tools.
  • Develops system training, onboarding tools and materials for new users including students, employers, faculty and staff.
  • Ensures training guides are kept up to date.
  • Conducts training sessions for new staff and refresher sessions for existing staff and other stakeholders.
  • Provides system support to stakeholders
  • Supports frontline staff in addressing complex or difficult system issues, such as complex employer username and password issues, assisting students with access problems etc.
  • Refers atypical student/employer/faculty/staff system requests that involve policies or procedures to appropriate department contact and or work collaboratively to identify best course action for assisting or referring client
  • Escalates issues to Technology Services and/or Vendor when system issues outside of our control occur. Communicates to staff updates when system failure occurs.
  • Supports data collection requirements.
Communication and Reporting for WIL Services
  • Provides direct project support to WIL Services as related to technology or communications projects.
  • Provides direct project support to other Student Services areas related to technologies shared across teams.
  • Uses existing tools to create virtual or print based material required by the Unit.
  • Supports the team by building and maintaining an information management strategy for WIL related information; forms, templates etc. that are not part of the Orbis platform.
  • Maintains a filing/tracking system to manage the WIL teamsxe2x80x99 marketing and educational resources and documents.
  • Researches and compiles information to department team or event-based reports.
  • Drafts content and compiles statistical information, edit and proofread reports and documents.
  • Provide recommendations of key metrics and developing a Power Bi report for the WIL Team
  • Monitor, track and report on performance metrics.
  • Develop, communicate, and pilot innovative opportunities thought leadership and business cases to senior leaders to inform decision-making.
  • Assists with the development and tracking of surveys and evaluations via MS Forms or other software.
  • Assists with special event related projects: pre and post event duties such as compiling exhibitor invitation and registration list and creating marketing materials.
  • Participates in internal committees, which may be voluntary or assigned delegated by the Supervisor.
  • Evaluating existing business processes.
  • Determining and outlining business process improvements.
  • Designing workflows and business processes for WIL Team
Other duties and projects as assigned
  • Participates in the implementation of new software in Student Services, as required
System configuration and maintenance of new technology in Student Services, as required.Required qualifications:
  • 3 years of related experience
  • Diploma in: Software/Database Administration, Communications, Information Management or related discipline(s)
  • Skills utilizing and/or configuring technology platforms and systems including databases, Work Integrated Learning platforms and contact management systems
  • An equivalent combination of directly related education and experience may be considered
  • If your education was received internationally we will require you provide an international education assessment through IQAS, WES, or one of the other nationally designated organizations upon hire.
