Job Description


The Edmonton Police Service (EPS) requires a highly organized and efficient administrative professional to provide direct support to the Superintendent of the EPS Training Development and Recruiting Division. This position will also work closely, communicate frequently and provide support to Branch Inspectors and employees of the Recruiting and Selection, Leadership and Development, Police Training and Promotions Branches.

When dealing with members of the EPS, the public, and external stakeholders\xe2\x80\x99 proper judgement, discretion and superior customer service skills are essential to providing accurate, complete, and timely information. In short, the primary function of this position is to ensure that administrative responsibilities are efficiently and effectively carried out. Responsibilities will include:

  • Acting as the \xe2\x80\x9cfirst point of contact\xe2\x80\x9d; responding to walk-ins, telephone and email inquiries regarding classroom bookings, training records, course registration, equipment bookings and general inquiries.
  • Acting as administrator for the \xe2\x80\x9cregistrar\xe2\x80\x99s office\xe2\x80\x9d for classroom. Coordinate the scheduling of programs and events at the Training Branch, creating and maintaining training calendars.
  • Preparing agendas, taking minutes, providing correspondence, and other meeting related duties for the Branch Inspectors.
  • Answer and screen any calls/emails that are received for the Superintendent or Inspectors in a timely and professional manner.
  • Maintain detailed financial records of all non-personnel expenditures.
  • Maintain the Branch office material budget.
  • Prepare expense claims as required.
  • Maintain receipts and reconcile monthly visa statements for the Superintendent and Inspectors, flagging any items of concern.
  • Booking and managing any training/travelling arrangements for the Branch.
  • Providing CARM or PARS support for members and management.
  • Maintain and create branch email distribution lists and branch members list.
  • Administering the Tuition Reimbursement program.
  • Develop and maintain the Branch\xe2\x80\x99s filing system for APPs, collect APP\xe2\x80\x99s for superintendents\xe2\x80\x99 signature if required, submit final copies to HRD, employee, and submitting supervisor.
  • Work closely with administration staff within the Division as well as assistants within the Office of the Chief.
  • Develop and maintain a branch diary date system for the Superintendent, Inspector and Staff Sergeants to: monitor and communicate traffic violations for all members in the branch, track briefing notes or any other monthly/yearly reporting.
  • Ensuring classrooms are equipped with supplies and classrooms are organized based on individual program needs.
  • Providing assistance when needed for classroom equipment and maintaining Branch inventories.
  • Scheduling meetings, creating agendas, taking minutes for the unit/section/branch meetings or initiatives.
  • Performing general office duties such as typing, filing, ordering office supplies, data entry, distributing mail, administering petty cash and processing invoices.
  • Draft memos, transfer notices, temporary acting appointments, favorable notices, divisional recognition, and other memos as required.
  • Draft reports and responses to enquiries from the Edmonton Police Commission and City Council.
  • Providing support to the Inspector for the promotional process as required.
  • Other related duties as required.
Qualifications
  • Completion of the twelfth (12th) school grade including business subjects related to word and information processing or completion of an appropriate certificate program from an approved business school/college.
  • A minimum of three (3) years diversified word and information processing experience and providing assistance to mid to high-level executive.
  • Advanced Computer Skills training and experience including Adobe Acrobat Professional, Smartsheets and Microsoft Office; Word, Outlook, Excel, OneNote, PowerPoint and Access.
  • Ability to exercise sound judgment when dealing with sensitive and confidential information.
  • Ability to work independently but also support an efficient and cohesive team environment.
  • Strong organizational and records management and prioritization skills are required.
  • Strong written and verbal communication skills.
  • As part of your pre-hire screening you will be required to complete an Enhanced Security Clearance. Should you accept employment with the Edmonton Police Service you acknowledge and agree to participate in future Enhanced Security Re-Clearances at scheduled intervals or in any other circumstances, exigent or otherwise, as required by Human Resources Division.
Hours of Work:

33.75 hours per week, Monday to Friday. Hours of work may be subject to the terms and conditions of a variable hours of work program.

Salary Range:

21M, Salary Grade: 012, $26.92 - $33.76 (Hourly), $1,817.60 - $2,279.10 (Bi-Weekly), $47,440.40 \xe2\x80\x93 59,485.49 (Annually). The rates quoted are in accordance with a collective agreement between the Union and the City of Edmonton.
