Summary:
The Office Administrator provides administrative and customer service support to the Windsor operations, including managing calls and visitors, handling mail, maintaining records, and coordinating purchasing. Responsibilities also include payroll processing, data entry, and reporting through Ceridian Dayforce and TRUX. The ideal candidate has at least one year of administrative experience, strong communication and organizational skills, proficiency in Microsoft Office, and the ability to manage multiple priorities with accuracy and attention to detail.
Responsibilities:
Acting as the main switchboard operator, answering, screening and transferring inbound calls and checking voicemail and email regularly for messages.
Greeting and assisting customers and visitors upon arrival at the office.
Sorting and distributing incoming and outgoing mail, as well as courier packages.
Answering customer concerns and providing appropriate direct support or escalating to management as needed.
Communicating with the Route Supervisors and Management on a daily basis.
Filing and general maintenance of all administrative documents, update daily records, as well as any other general administrative duties as required (both manual paper and electronic filing system).
Printing and distribution (posting) of various documents and announcements.
Coordinating and/or completing some purchasing transactions such as office supplies and other items as requested that support the Windsor operation.
Completing daily payroll and reconciliation reports in Ceridian Dayforce.
Utilizing the TRUX software system to enter daily scale tickets and to complete month end billing reports.
Adhering to MWSI policies, procedures and protocols.
Providing support to the management team with other projects and duties as assigned and the Windsor operations, develop.
Competencies & Qualifications:
A minimum of one (1) year of administrative experience related to the above responsibilities.
Excellent communication (written, oral and auditory) and customer service skills.
Proficiency in using Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
Familiarity with and/or the technological skills to learn TRUX, GeoTab, Ceridian Dayforce, and Yooz.
Demonstrated abilities relating to managing time and multiple priorities with strict deadlines.
A strong attention to detail with proven problem-solving skills and accuracy in your work.
The ability to work in the office (on site) 5 days a week, as this is not a remote position.
Initiative and the ability to self manage when appropriate.
A positive attitude and work well in a team environment.
