Wholesale Procurement Specialist / Customer Service Assist

Pinnacle Wholesale Foods Inc. is a locally owned and operated Food Service Distributor and is currently looking to hire a permanent, full-time, Wholesale Procurement Specialist with some Customer Service functions to perform.

BUYER RESPONSIBILITIES:

Purchasing & Receiving

Daily purchasing according to re-order report; schedule required supplier pick-ups. Review supplier confirmations, and determine product substitutions if necessary. Daily review of back orders from vendors and arrange to expedite wherever possible. Replenishment buying for stocking items as required. Ensure all documentation is in place for special order/non-stock items before ordering. Maintain system re-order points in order to maximize inventory turns and avoid product shortages. Enter daily receiving, and verify supplier invoices. Resolve pricing issues or shipping errors with vendors. Maintain price increases. Keep sales and customer service personnel updated with schedule of increases, and provide copies of vendor increase letters. Arrange vendor returns as required, and ensure that proper documentation is prepared. Set up and maintain vendor catalogue/prices files as/if required.
Inventory Control

Investigate and make necessary stock adjustments. Plan and coordinate inventory cycle counts in conjunction with Warehouse Manager. Inspect and verify returns from customers; submit paperwork for credits to be processed. Obtain management approval before implementing sales requested stocking arrangements. Identify obsolete stock, and formulate proposals for resolution to present to management. Assist in preparation and participation in annual physical inventory.
Merchandising

Receive and reply to information requests from sales personnel and/or customer service department. Obtain comparison costing from preferred vendors. Qualifying unusual/large dollar value items before processing requests. Enter new items in system as per established procedure.
CUSTOMER SERVICE RESPONSIBILITIES:

Coverage for position when required.

Customer Service

First point of contact for all incoming and walk in customers; behaving in a manner that is consistent with corporate principle: "Customer Service is Foremost". Provide product information to customers and sales personnel as required. Take orders over the phone from customers and sales representatives providing they meet minimum order requirements and/or credit restrictions. Coordinate computer entry for incoming orders (telephone, fax, or from sales personnel) to ensure that order entry is completed by order cut-off time each day. Work with sales personnel and rural customers to assist them to adhere to required order cut-off days/times. Resolve customer complaints and/or inquiries according to training and experience. Issues outside of parameters are to be forwarded to the Supervisor without delay.
Order Processing

Enter manual sales orders into system - check for accuracy Ship confirm picked sales orders (convert to invoice). Check for accuracy and ensure that back-order sales orders are printed as necessary and filed alphabetically in the back-order file. Sort invoices for rural delivery run into appropriate locations, ready for drivers on scheduled delivery days. Ensure that sales orders are pre-picked daily, coordinating with warehouse staff to make sure that no orders are missing. Process customer pick up orders; call customers who do not pick up orders on scheduled pick-up day.
Administrative

Processing COD and credit card payments as required, clearly documenting method of payment on branch invoice copy. Filing customer invoices on a daily basis. Ensuring that the photocopier, fax and printers are loaded with paper. Changing toner cartridges as required. Advising management of any equipment problems at the time they are discovered. Other duties as assigned by Management.
REQUIREMENTS:

Able to work well under pressure. Completion of post-secondary school is required. Must be able to speak basic English to communicate with other staff members and vendors. Strong organizational and multi-tasking skills; ability to set priorities, meet deadlines, and be able to meet team objectives. Minimum 2 years of experience as a wholesale buyer in retail, catering, or wholesale establishment is required.
Wages and Benefits:

Range: $65,000 per year. Extended medical and dental benefits after 3-month probationary period.
