The Position


The Administrative Assistant is responsible for providing day-to-day administrative support to the shishalh Nation Wellness Centre. The incumbent's work has a direct impact on the efficiency and effectiveness of the center's operations. Errors or a lack of attention to detail may result in delays, misinformation, or miscommunication, which can affect the overall functioning of the Wellness Centre.

The Candidate:

Assist with general administrative tasks, including filing, data entry, and maintaining records. Prepare and distribute correspondence, reports, and other documents as required. Manage appointment scheduling and maintain calendars, including scheduling events and booking rooms. Coordinate travel arrangements and accommodation bookings. Assist with budget monitoring and expense tracking. Submit financial requests for the Wellness Centre team and the Social Development/Health teams as required. Ensure that all electronic files & records are catalogued by year to provide up-to-date reference materials. This includes supporting all program documentation for Wellness Centre programs, which should be uploaded into the appropriate electronic databases. Preparing and distributing quarterly and annual reports for the Wellness Centre. Provide guidance and assistance to clients in completing documents and applications. Successfully communicate with individuals facing barriers, such as physical disabilities, mental illness, addiction, or language barriers. Perform all other duties within the scope of the position and as requested.

Qualifications, Skills and Abilities:

Certificate or Diploma in Office Administration. Three (3) years of relevant administrative experience. Experience in a First Nation environment providing Child/Youth Wellness Health services would be an asset. Experience working with Indigenous people, organizations, and communities would be an asset. Knowledge of shishalh Nation programs and services, or willing to learn. Respect for, sensitivity towards, as well as knowledge and understanding of shishalh culture and traditions. Knowledge of the relevant legislative framework and policies reflecting current child welfare practice. Understanding of evidence-informed/evidence-based practices for promoting trauma, attachment, resilience, and wellness-based mental health program services to children. Knowledge of First Nation service delivery, customs, and traditions in responding to child welfare concerns. Excellent verbal and written communication skills, including conflict resolution and sensitivity to diverse client backgrounds. Proficiency in MS Office programs, with advanced knowledge of Excel and Adobe and strong database skills. * Completion of an acceptable Criminal Record Check.
