Responsible for vendor and contractor coordination. Responsible for oversight of the copy and mail room functions, identifying where processes can be improved. Supports the Corporate Real Estate team as a skilled specialist that works on assignments requiring considerable judgement.ResponsibilitiesConcierge and Facilitation\xc2\xb7 Acts as project team lead for conference center room booking and set up
\xc2\xb7 Manages multiple more complex projects that extend beyond office moves
\xc2\xb7 Independently plans, organizes and manages project budgets
\xc2\xb7 Responsible for maintaining vendor purchase orders and tracking budgetOperations\xc2\xb7 Creates monthly tracking metric and reports for vendors, and day to day cost associated with budget
\xc2\xb7 Oversees ergonomic assessments and ensures proper desk setups
\xc2\xb7 Identifies and suggests possible improvements to processes, systems and overall client satisfaction
\xc2\xb7 Ensures appropriate follow up with customers.
\xc2\xb7 Acts as project lead for weekly meetings (e.g., vendor/project meetings, developing/managing schedules, developing/tracking budget, and providing timely updates)
\xc2\xb7 Manages end user expectations, meeting with them to review their requests and requirements
\xc2\xb7 Participates and supports the Manager, Corporate Real Estate on approved TI Projects\xc2\xb7 Maintains CAFM system (Office space) that tracks the occupancy of staff, hoteling and work order request
\xc2\xb7 Acts as lead with the charging station program, if applicable
\xc2\xb7 Supervises daily sorting, pickups and deliveries of all external and inter-office mail and ensures employee support on all mail and shipping requirementsVendor Assistance\xc2\xb7 Supervises contractors for maintenance and improvements including electrical, audio/visual, security, cabling, janitorial, plumbing, utilities, and HVAC
\xc2\xb7 Provides direction and information to vendors, service providers and Corporate Real Estate staff as required to ensure excellent coordination and execution of work with minimal disruptionBusiness Continuity\xc2\xb7 Works with the safety team lead to ensure annual fire drills, safety awareness, emergency supplies and regular safety training
\xc2\xb7 May act as lead in maintaining emergency supplies and life and safety evacuation processRepairs and Maintenance\xc2\xb7 Ensures the premises are properly maintained, and assists with repairs and tenant improvementsProperty Assistance Coordination\xc2\xb7 Responsible for supervising up to three offices remotely, including moving of staff, reconfiguring offices and cubicles, office repairs and equipment moves
\xc2\xb7 Performs and maintains regular property inspections to proactively maintain the appearance of the office
\xc2\xb7 Develops and monitors budgets, contracts, and change orders
\xc2\xb7 Tracks spending and implements cost savings initiatives
\xc2\xb7 Communicates and coordinates with property assistance on various issues such as building maintenance and security, safety (smoke detectors, sprinkler system, emergency lighting), and Heating, Ventilation and Air Conditioning (HVAC) needs
\xc2\xb7 Ensures adherence to facility-specific cost savings targets to contribute to the account achieving significant savings
\xc2\xb7 May provide direction to Corporate Real Estate Coordinators and Senior Coordinators in efforts to ensure 100% adherence to guidelines and policies
\xc2\xb7 Supports the Manager, Corporate Real Estate by leading small construction projects and space planning effortsQualifications\xc2\xb7 5+ years experience strongly preferred
