POSITION SUMMARY
Reporting to the Director of Fixed Operations, the Warranty Administrator uses exceptional client-focused communication to help identify warrantable repairs, process warranty repair work, and establish and maintain a positive learning relationship with our client base. This position will be focused on providing warranty support to our dealer sponsored fleets, service dealers and parts departments.
DUTIES AND RESPONSIBILITIES
Provide exceptional client-focused customer service in person, on the phone, and via email or other electronic communication.
Process dealer sponsored fleet, service dealer, and parts warranty claims to the OEM and other vendors.
Accurately enter information into the database, monitor and update claims throughout the warranty process.
Provide ongoing communication with fleets, service dealers, and customers regarding the status of their claims.
Create credit invoice documents to initiate reimbursement of claim payments to fleets, service dealers, and customers.
Provide support to current warranty administrators who process in-house shop repair order warranty claims to OEM and other vendors.
Manage and maintain the warranty parts storage area. This includes the organization of incoming parts, shipment of warranty parts back to the OEM or vendor, and core return to the parts department.
Other administrative tasks as required.
Comply with the company health & safety program, occupational health & safety legislation and any other municipal, provincial, or federal legislation as it applies to this dealership.
Participate in company and manufacturer-sponsored training programs, schools, and events.
QUALIFICATIONS
Previous experience as a warranty administrator within the automotive and/or heavy truck industries is considered an asset.
Previous database use and CDK experience are considered an asset.
Previous experience or an understanding of basic accounting principles is considered an asset.
Proven customer service skills and a pleasant phone manner.
Dispute resolution skills, the ability to handle difficult situations, and effective time management with the ability to meet time-sensitive deadlines.
Ability to effectively use computer software such as Word, Excel, and Outlook.
Must be able to work in a high-pressure environment safely.
Must be able to present yourself in a positive, professional manner to colleagues, customers and OEM representatives.
Ability to define problems, collect and analyze data, establish facts and draw conclusions.
Able to accurately communicate with co-workers, managers and customers.
