Position Overview:



We are looking for a self-sufficient

Warehouse & Administrative Coordinator

, to run a one-person department that blends

administrative work with hands-on inventory management.

In this role, you'll maintain a dedicated section of our warehouse, process, and track service parts, and support our service teams.

You will play a vital role in supporting our service operations by organizing, tracking, and managing the movement of parts, equipment, and warranty returns. This is a true hybrid role -- one day you may be processing warranty returns and updating inventory in our ERP system, the next you might be staging parts for technicians or operating a forklift to move incoming shipments.

This position works closely with our service teams, accounting department, and warehouse staff to ensure technicians have what they need for successful and efficient service calls. This position is based in our

Burlington head office

and is integral to our commitment to delivering exceptional customer service and satisfaction.

The ideal candidate is detail-oriented, proactive, and

confident managing both physical warehouse work and administrative tasks independently

.

Monday to Friday, 8am-4pm

Key Responsibilities:



Stage liners, safety covers, and other scheduled items in advance for service technicians (PPS technicians). Review and verify liner schedules 6 days in advance to ensure readiness and availability. Communicate with service offices when backordered or special-order parts arrive. Notify service offices if liners or safety covers are missing. Receive incoming stock and generate purchase orders for warehouse restocking. Participate in bi-weekly service meetings and share feedback or operational concerns. Tag and stage spa service parts; follow up with technicians on unreturned warranty items. Maintain stock levels for daily-use service items such as piping, primer, glue, chem kits, and basic plumbing components. Process shipping and receiving through NAV for both customer-specific and bulk service items. Manage customer and vendor returns, including entering RGAs and RETs into NAV. Verify and track defective or warranty parts in coordination with the Hamilton Group. Contribute to overall warehouse organization and cleanliness. Perform additional duties as assigned.

Warranty & Returns Coordination

: Stage warranty parts required for service technicians to complete scheduled calls. Collect old or damaged parts for return to vendors following proper claim submission. Communicate with the Accounting department once returned parts are eligible for reimbursement. Ship approved warranty items to suppliers on a weekly basis.
Work closely with the accounting department and service offices to ensure seamless coordination. Collaborate regularly with the Pioneer Pools Service manager to support service operations.

Key Qualifications:



Experience:

1-2 years of experience in warehouse operations, inventory coordination, or service administration preferred. Experience with ERP systems such as NAV is considered an asset. Comfortable using a

range of warehouse equipment

(forklift, pallet jack, etc.)

Skills & Attributes:

Strong organizational skills and attention to detail. Strong initiative -- able to work independently and

manage a one-person department

. Organized and detail-oriented with the ability to

maintain a clean, well-organized inventory section

. Effective communicator and team player. Ability to multitask in a fast-paced environment. Basic knowledge of service parts or pool/spa industry considered an asset.

A passion for pools, spas, and outdoor living. Comfort working in a hands-on warehouse environment. Willingness to learn internal systems and adapt to new processes. Ability to work independently and take initiative.
