Job Description

Reporting to the Warehouse Manager, the Administrative Coordinator is responsible for managing daily administrative tasks and supporting the smooth execution of warehouse operations. This role plays a key part in maintaining efficient logistics processes and ensuring accurate documentation across departments.
Location : Lachine
Working Schedule: 7am - 3:30pm, Monday - Friday
Main tasks of the Administrative Coordinator (Warehouse Operations) :

  • Greet drivers upon arrival and coordinate dock assignments.
  • Schedule appointments for domestic shipments, contractors, and container deliveries.
  • Coordinate container movements in the yard (Shunter/Yard coordination).
  • Track the reception of both full and empty containers.
  • Extract and compile data and reports for all warehouse sites (e.g., productivity, downtime, shipments per trip, machine performance, file rate) - on a rotational basis.
  • Prepare inspection documents (sprinkler systems, buildings, equipment).
  • Print and file ID badges for new employees and delivery slips.
  • Prepare documentation for transfers between distribution centers and warehouses.
  • Monitor first aid kits and order supplies as needed.
  • Maintain the progress tracking sheets for warehouse activities.
  • Assemble in-store label kits.
  • Collect and compile working hours from various departments (Barcelona, put-away, cross-dock, CDI, repack, etc.).
  • Validate and update employee hours in Kronos (coding, transfers, etc.).
  • Process product-related requests (labeling, information updates, adjustments in SAP).
  • Provide coverage for other administrative staff at different warehouse locations when required.
Requirements for the Administrative Coordinator (Warehouse Operations) position :
  • College diploma (DEC) in a relevant field or equivalent experience.
  • 6 to 12 months of administrative experience, preferably in a warehouse or logistics environment.
  • Strong ability to multitask, prioritize responsibilities, and work effectively under pressure.
  • Excellent team spirit and collaboration skills.
  • Strong interpersonal and communication skills.
  • Good analytical, planning, and organizational abilities.
  • Proficiency in Microsoft Office, especially Excel.
  • Advanced French and intermediate English proficiency.

Relevant du gestionnaire de l'entrepot, le ou la coordonnateur(trice) administratif(ve) est responsable de la gestion des taches administratives quotidiennes tout en soutenant les activites operationnelles de l'entrepot. Ce role est essentiel au bon deroulement des processus logistiques et a la tenue precise de la documentation.
Responsabilites principals du Coordonnateur(trice) Administratif(ve) :
  • Accueillir les camionneurs et coordonner l'affectation des quais.
  • Planifier les rendez-vous pour les livraisons domestiques, les contracteurs et les conteneurs.
  • Coordonner les deplacements de conteneurs dans la cour ( Shunter , Yard ).
  • Gerer la reception des conteneurs (pleins et vides).
  • Extraire et compiler divers rapports pour tous les entrepots (productivite, temps perdu, voyages recus, performance des machines, file rate ) - en rotation.
  • Preparer les documents d'inspection (gicleurs, batiments, equipements).
  • Imprimer et classer les cartes d'employes et les bordereaux de livraison.
  • Preparer la documentation pour les transferts entre centres de distribution et entrepots.
  • Verifier le contenu des trousses de premiers soins et effectuer les commandes necessaires.
  • Maintenir a jour la feuille de suivi des operations.
  • Assembler les etiquettes magasin.
  • Extraire les heures travaillees dans les differents departements (Barcelona, put away , cross-dock , CDI, repack , etc.).
  • Valider les heures saisies dans Kronos (ajout de codes, transferts, etc.).
  • Gerer les demandes liees aux produits (etiquettes, ajustements dans SAP, etc.).
  • Remplacer les agents administratifs dans d'autres entrepots si necessaire.
Exigences du poste de Coordonnateur(trice) Administratif(ve) :
  • DEC dans un domaine pertinent ou equivalent.
  • 6 a 12 mois d'experience dans un poste administratif, idealement dans un environnement d'entrepot ou logistique.
  • Capacite a gerer plusieurs taches a la fois, a etablir les priorites et a travailler sous pression.
  • Fort esprit d'equipe et bonne collaboration.
  • Excellentes competences interpersonnelles et communicationnelles.
  • Bonnes aptitudes pour l'analyse, la planification et l'organisation.
  • Maitrise de la suite Microsoft Office, notamment Excel.
  • Francais avance, anglais intermediaire.
