The Volunteer Coordinator-/Family Services for Habitat for Humanity Sarnia/Lambton will be responsible for the development, implementation, administration, and day-to-day managing of the volunteers from all divisions and families.
REPORTS TO:
Volunteer Coordinator/Family Services is a direct report to the Chief Executive Officer.
SCOPE OF AUTHORITY
: The Volunteer Coordinator/Family Services is responsible for providing oversight, direction, and support to all construction and community volunteers.
EDUCATION & EXPERIENCE
: The incumbent to this position will have a certificate in Volunteer Management and/ OR a minimum of (1-2) years of experience working with volunteers. Experience in non-profit and/or affordable housing is an asset. Strong computer skills mandatory.
SCOPE OF COMMUNICATIONS:
The nature of the position is such that the incumbent must have the ability to engage in and facilitate clear, consistent, and timely communications with all of HFHS/L's stakeholder groups. As such, the incumbent must have demonstrated excellence in written and oral communications, effective skills in preparing and delivering presentations to a broad cross-section of audiences, and must have superior listening skills.
DUTIES AND RESPONSIBILITES
:
Volunteer Recruitment
Use a variety of recruiting methods such as networking, advertising, social media, local media, and community meetings to recruit effective volunteers with appropriate skills
Record and track all volunteer information including their hours
Create job descriptions for volunteer positions if and as necessary
Respond to daily inquiries from current and potential volunteers and organizations investigating volunteer opportunities
Develop and deliver presentations to groups and organizations interested in understanding what volunteer opportunities exist and how they can be involved
Maintain daily communication with Habitat staff in regards to volunteer needs, changes, issues or opportunities
Volunteer Screening
Ensure screening process is based on policy and compliant with privacy legislation
Develop and implement an intake and interview protocol for potential volunteers to ensure the best match between the skills, qualifications and interests of the volunteers and the needs of the affiliate
Conduct background checks and verify references
Volunteer Scheduling/Tracking
Create schedules as required, with input and direction from Construction Manager, Restore Manager, CEO.
Schedule volunteers into allotted time slots
Maintain files on all volunteers, ensuring appropriate documentation is in place
Organize and track volunteer hours.
Create reports and statistics for CEO if and as required
Volunteer Training
Responsible for coordinating volunteer orientations and adequate training sessions
Ensure volunteers have completed their mandatory training and are confident in their roles
Develop volunteer orientation packages
Volunteer Management
Primary contact for all volunteers
Review volunteer position descriptions in consultation with staff as appropriate
Promote the volunteer program to gain community support of the volunteer program
Ensure that volunteers receive the appropriate level of supervision
Serve as a liaison between volunteers and affiliate supervisors
Ensure that volunteers work in a safe, healthy, and supportive environment in accordance with all appropriate legislation and regulations
Assist with daily in office and onsite duties as assigned
Regularly assist with construction related activities if and as required
Consult with Departments Managers and CEO with volunteer requests, concerns, support, and guidance
Volunteer Recognition
Ensure that volunteer appreciation program is followed according to affiliate policy
Maintain records and statistics on award recognition program
Acknowledge volunteers regularly and the impact they are making on our affiliate
Family services - Be the main point of contact for all habitat families
Administration
Administer and monitor expenditures for the volunteer program against the approved budget
Additional Duties
Along with duties on the Volunteer side of this position you will be responsible for
On Boarding all new staff
as well to provide support administratively to the Habitat Handyman program. Some additional duties assigned by the CEO as required.
