Building a community of hope since 1987, we would like to invite you to join our journey. Siloam Mission is currently seeking for full-time term Volunteer Coordinator.

The Volunteer Coordinator will report to the Supervisor of Volunteer Services and is responsible for working with the volunteers by building relationships, connecting them with meaningful ways to serve and providing support to Siloam Mission. This support will help create positive volunteer experiences and enhance the care provided to volunteers on a more personal level. This staff will work in collaboration with the Volunteer Services team to develop and enhance volunteerism at Siloam Mission.

KEY DUTIES & RESPONSIBILITIES

  • Perform a variety of administrative tasks including but not limited to assist staff with office projects, filing, auditing, data entry, maintaining the volunteer database (pulling sets and reports) scheduling, volunteer recognition, answering emails/phone calls, and office organization;
  • Liaison with businesses, churches, families, and other organizations and individuals who are interested in volunteering at Siloam Mission;
  • Responsible for recruitment, processing applications, screening, scheduling, building capacity, and supporting volunteers in the areas of Group Volunteering and Individual Volunteering with subcategories in each area and as needed;
  • Schedule and coordinate volunteers to complete the volunteer orientations, communicate information to volunteers regarding orientation, as well as review policies and procedures with volunteers;
  • Engage, equip and encourage volunteers to take on leadership roles;
  • Plan and host volunteer events and integrate forms of recognition;
Host and orient volunteers on a regular basis and lead tours for volunteer groups & individuals, donors and community members as needed;
  • Report any volunteer incidents to the Supervisor of Volunteer Services and complete \xe2\x80\x9cincident report\xe2\x80\x9d forms as necessary and provide prompt and appropriate follow up on volunteer incidents;
Documentation of volunteer schedule changes and incidents;
  • Ensure policies, dress code and safety parameters are followed by all volunteers and advise other Volunteer Services members of challenges with volunteers;
  • Attend to and manage conflict by referring to VS policies; follow protocol for warnings; if necessary create a volunteer plan (may include dismissals);
  • Complete and submit student forms and confirmation of hours letters;
  • Assist the Supervisor of Volunteer Services and the team with planning and execution of the volunteer appreciation event;
  • Work alongside volunteers in the different available areas to create an atmosphere of care and appreciation for volunteers;
  • Advocate on behalf of volunteers and volunteerism at Siloam Mission;
  • Keep track of volunteers experiences and hours and update volunteer files and data base as needed;
  • Correspond with volunteers via email and telephone to schedule, follow up, and inform volunteers of updates and opportunities;
  • Implement and maintain Rewards and Recognition program for Siloam Volunteers, using an online database;
  • Responsible for initiating and tracking volunteer contact;
  • Initiate sending flowers or a gift basket to volunteers experiencing illness, a death in the family, retirement, etc.;
  • Support the Supervisor of Volunteer Services in training staff on volunteerism at Siloam Mission;
  • Liaise between Volunteer Services and all other departments involved with volunteerism and provide support to fellow staff;
  • Ability to evaluate the volunteer services program (ex: Surveys);
  • Assist other departments when there is a shortage of volunteers and assist in the supervision and training of part-time Volunteer Support Staff if necessary;
  • Communicate and inform the Volunteer Support Staff regarding the volunteer schedule, processes and information pertinent to Individual and Group Volunteers;
  • Liaison and build rapport with other departments;
  • Represent, advocate, build awareness and educate volunteers, donors and community members about Siloam Mission.
EDUCATION & EXPERIENCE
  • Must have a heart for the disadvantaged community that we work with; relevant trainings such as NVCI, ASIST, Mental Health First Aid, CPR and First Aid, Volunteer Management Level 1 \xe2\x80\x93 2, CVA Certification are an asset;
  • Minimum 1 year in Volunteer Coordination, supervision or related field experience in the sector of Volunteer Management.
KNOWLEDGE/SKILLS/BEHAVIORS
  • Ability to type 35 words per minute and have good knowledge of Microsoft Applications (Excel, Powerpoint, Outlook and capacity to use the volunteer database BetterImpact;
  • Superior interpersonal and written/oral communication skills;
  • Ability to speak in public to small/large groups and lead site tours in an engaging manner;
  • Demonstrate ability to work as part of a team; outgoing attitude is a must;
  • Physically active, walk and stand for long periods of time in order to liaison between 3 buildings;
  • Demonstrate accountability, take initiative and problem solve;
  • Ability to multi-task, function under stressful conditions, open office environment and ability to adapt.
  • Be engaged, positive, clear, take initiative and build rapport with the Volunteer Services Team.
RELATIONSHIP

Volunteer services hosts many individuals and groups daily who may have association with varying organizations, programs, schools, churches and businesses. Volunteers may also be donors, existing and potential. External relationships exist between Volunteer Manitoba, MAVA and other programs relevant to Volunteer Coordination.

WORKING CONDITIONS
  • Hours of work: Mon-Fri, 8:00am - 4:30pm with some flexible hours including occasional evenings, weekends and holidays
  • Open office environment, shared office space
ADDITIONAL

Clear Vulnerable Sector Check and Clear Adult Abuse Registry Check will be required.
