We are looking for a highly organized, reliable, and proactive
Virtual Assistant
to provide day-to-day administrative and operational support to our management team.
Role Overview
The Virtual Assistant will work closely with senior leadership to streamline workflows, manage communications, organize projects, and ensure the smooth execution of daily operations. The ideal candidate is detail-oriented, fast-thinking, and able to handle sensitive information with professionalism.
Key ResponsibilitiesAdministrative Support
Manage calendars, coordinate meetings, and schedule appointments across multiple time zones.
Organize emails, filter priorities, draft responses, and maintain inbox efficiency for management team members.
Prepare and format reports, presentations, spreadsheets, and internal documents.
Maintain and organize digital files, shared drives, and documentation.
Operational & Project Support
Track ongoing projects, follow up with internal teams, and ensure deadlines are met.
Prepare meeting agendas, action lists, and follow-up summaries.
Assist with task management tools and keep management updated on pending items.
Conduct research, gather data, and prepare concise summaries or recommendations.
Communication & Coordination
Serve as a liaison between management, departments, partners, and external stakeholders.
Draft polished emails, memos, and communication templates.
Assist with onboarding coordination for new hires when required.
Support leadership during product launches, campaign coordination, and cross-department initiatives.
Customer, Partner & Vendor Support
Handle basic inquiries from partners, vendors, and clients.
Assist with documentation such as agreements, forms, and compliance files.
Support accounts, billing follow-ups, and administrative reconciliation tasks when needed.
Marketing & Digital Assistance (Bonus)
Assist with social media content updates or scheduling.
Support email marketing tasks: list updates, formatting, light content creation.
Upload or organize creative assets, campaign data, or website updates (training provided).
Requirements
2+ years of experience as a Virtual Assistant, Executive Assistant, or Administrative Assistant.
Exceptional written and verbal communication skills.
Strong organizational abilities with proven time-management skills.
Proficiency in Google Workspace, Microsoft Office, Zoom, Slack, and project management tools.
Ability to learn new platforms quickly (CRM, dashboards, marketing tools).
High degree of professionalism and ability to handle confidential information.
Reliable internet and ability to work independently with minimal supervision.
Preferred Qualifications
Experience supporting executives or senior management.
Background in digital marketing, lead generation, or performance marketing (asset).
Familiarity with CRMs (HubSpot, Salesforce, Zoho) or project systems (Asana, Monday, ClickUp).
