Technology Guru & Administrative Assistant
to provide
unlicensed assistant coverage
,
technology support
, and
executive-level assistance
to ensure the smooth operation of our business.
This is a
contract, on-site position
in Paris, ON, with flexible hours and the potential to evolve into a long-term or permanent role.
Key Responsibilities
Working alongside current administrative staff and providing support and coverage as needed
Supporting the Advisor and Office Manager as required
Managing technology tools and resolving issues across
Apple devices
,
Zoom
,
Microsoft 365
,
Snap Projections
,
SnapScan
,
Parallels
, and CRM systems
Completing and maintaining client paperwork and account documentation accurately and in compliance with regulatory standards
Ensuring all client information and interactions are properly documented in the office CRM
Preparing for and following up on client meetings; assisting with account openings, transfers, and updates
Organizing and maintaining digital files, receipts, and records
Coordinating travel, client events, and special projects
Assisting in developing and maintaining client communications and marketing materials
Maintaining the highest level of
confidentiality and professionalism
at all times
A creative eye -- whether for web design, artistic layout, or interior style -- would be a huge asset.
Qualifications
Direct experience in Ontario's investment and insurance industry
is required
Experience must be on the investment side; insurance-only or general bank branch experience will not be considered* Strong proficiency with technology, particularly within the Apple ecosystem and business software environments
Proven ability to troubleshoot and implement tech solutions independently
Previous experience in a fast-paced office, ideally within a financial advisory or wealth management firm
Strong attention to detail, organization, and ability to prioritize multiple tasks
Excellent communication and client service skills
High level of integrity and discretion when handling confidential information
Proficiency in Microsoft Office Suite and database/CRM systems
Post-secondary education or certification in a related field is an asset
Compensation & Expectations
This is a
contract position
with hours determined collaboratively based on workload and need. Compensation will be based on experience and what you believe is fair for the role.
