About the RoleProvides administrative, clerical, and secretarial support to the Department of Sociology and Anthropology and the Labour Studies general office and undergraduate program. Responds to requests from students and faculty for general information and resolves routine and non-routine problems that may arise. Liaises with students, staff, faculty, and instructional staff to assist with course registration, grades, evaluation, graduation and events. Creates and maintains electronic and hard-copy files and records relating to students, student advising, and programs. Provides support to the Department Chair, Program Director, Undergraduate Curriculum Committee (UCC) Chair, and Advisor. Provides back-up financial support to the Manager by preparing invoices and other financial documentation, processing journal vouchers and travel reimbursement/expense claim forms, and acting as Petty Cash Custodian when needed.QualificationsHigh school graduation and general courses or training of moderate duration (one semester equivalent) in word processing, spreadsheet and database applications, and office procedures and practices. Minimum 2 years of experience. An equivalent combination of formal education, certificate/program of study and experience is acceptable.
Excellent knowledge of university regulations, policies, and procedures.
Excellent knowledge of standard office practices, procedures, methods and equipment.
Good knowledge of basic bookkeeping and accounting procedures.
55 wpm keyboarding skill with a high degree of accuracy.
Excellent organizational skills including the ability to prioritize work.
Excellent interpersonal and communication (oral and written) skills.
Excellent analytical reasoning, problem-solving and decision-making skills.
Excellent time management skills.
Ability to use standard word processing, database and spreadsheet applications, web updating applications and e-mail applications (e.g., MS Word, PeopleSoft (SIMS), TRACS, Excel, or equivalent) at an intermediate level.
Ability to use standard desktop publishing software applications (e.g., InDesign, PowerPoint, or equivalent) at an intermediate level.
Ability to use standard financial information and administration systems (e.g., FAST, FINS or equivalent) at an intermediate level.
Ability to work independently and meet deadlines.
Ability to exercise mature judgment and initiative and communicate with tact and diplomacy.
Ability to complete a high volume of work with frequent interruptions.
