Who We Are

The Offices of Student Experiences at the Beedie School of Business is responsible for supporting faculty in creating engaged transformative learning experiences for students within the business school. Drawing upon experiences inside and outside the classroom, the team supports students in the strategic mission of developing innovative and socially responsible business leaders with a global perspective. The team is collaborative and responsive to the changing needs of the program by enhancing the student experience.

About the Role

The Undergraduate Programs Assistant contributes to the effective and smooth operations of the Undergraduate Programs units by providing administrative support to the development, implementation and maintenance, and assessment of services, programs, and initiatives. Providing exceptional customer service, the PA also ensures administrative, clerical, and research support to the units, specifically to support event, communications, data, and financial management required for the management and administration of programs and services. Duties include: assisting in budget and revenue planning, reconciliation, and reporting; standard office communications (e.g. typing memos, letters, minutes, emails) and online communications (e.g. job postings, website maintenance); creating and maintaining accurate database and spreadsheet records and statistical summaries; responding to internal and external requests for program and service information; administering the Programs\' application, registration, and funding processes (e.g. admissions, scholarship, student organization, graduation, etc.); administering, processing & updating student records (e.g. milestones, transfer credit, declaration, etc); maintaining an inventory of Business promotional merchandise; acting as reception coverage for the Undergraduate Programs; assisting with the selection of suitable students for curricular, co-curricular, and financial opportunities (e.g. admissions, case competitions, scholarships, awards and bursaries, graduation); providing a range of secretarial and clerical support services for interviews, events, workshops, seminars, and special events (e.g. career passport, convocation, honour roll, student awards ceremonies, conferences, competitions, etc); coordinating the recruitment and organizing of external and internal volunteer corps; conducting research, surveys and data collection and compilation; preparing presentations for delivery to internal and external stakeholders; and coordinating, administering, and/or providing assistance for various responsibilities each term.

Qualifications

High school graduation and two years of post-secondary education with training in database, spreadsheet, and word applications, bookkeeping and accounting principles, and office procedures. 3 years of experience.
An equivalent combination of formal education, certificate/program of study and experience is acceptable.

  • 70 wpm keyboarding skill with a high degree of accuracy.
  • Ability to use database, spreadsheet, word processing, presentation, and data visualization applications (e.g. MS Word Suite, Tableau, Outlook, Filemaker, etc ) at an advanced level (e.g. \xe2\x80\x9cif\xe2\x80\x9d statements, pivot tables)
  • Ability to use enterprise level information systems (e.g., PeopleSoft, FAST, SIMS) at an intermediate level
  • Ability to use desktop publishing applications (e.g., Adobe Creative Suite, etc.) at an intermediate level
  • Ability to work independently, prioritize work and complete a high volume of work within deadlines.
  • Excellent oral, written and interpersonal communication skills, and customer service skill
  • Excellent attention to detail, proofreading, and editing skills.
  • Excellent knowledge of standard office practices, methods, and equipment
  • Excellent knowledge of budgeting, bookkeeping and accounting practices.
