Duties and Responsibilities:
Working under the supervision of the Undergraduate Program Administrator, the Undergraduate Advisor must perform a multitude of tasks to support and assist psychology students in three main programs: the Bachelor of Arts; Bachelor of Arts, Honours, (Combined Honours and Honours with Concentrations); the Bachelor of Science, Honours (Bachelor of Science Honours with Concentrations). The incumbent also advises students for the general and specialized minors.
There are also a number of other related programs with psychology course requirements, (e.g., B.COMM, Criminology and Criminal Justice, (CCJ), Child Studies, CIE, Cognitive Science, Health Science, UBID, ), also supported by the Undergraduate Program Advisor.
The incumbent reviews course outlines to ensure that they conform to University rules and regulations, policies, and procedures.
Qualifications:
The incumbent must possess the following qualifications:

  • Required attributes for the position are demonstrated personal initiative, resourcefulness, decision making ability and flexibility.
  • The incumbent must possess excellent administrative and time management skills with the ability to organize work effectively, set priorities and meet strict deadlines; they must have the ability to work simultaneously on several assignments with pressure of multiple demands and changing priorities; must possess effective communication skills, both oral and written.
  • Reliability and accuracy are critical, along with confidentiality.
  • With excellent interpersonal skills, the incumbent must also be capable of relating successfully to all members of the University community (staff, faculty and students), and wider community, responding to queries in a professional manner and must possess the ability to work successfully both without direct supervision and within a team.
  • The position requires a sensitivity to, and understanding of various cultural, ethnic and linguistic profiles.
  • Student queries are treated as a priority, must be respected and handled with professionalism.
  • Tact, discretion and respect must be exercised when interacting with students, potential students, visitors, faculty, alumni and the general public.
  • Familiar with campus life, the incumbent must possess a sound knowledge of academic policies, regulations and programs offered by the Department and throughout the University, and must understand procedures governing the processing of student records.
  • The incumbent acts as an information resource for students and faculty members.
  • The incumbent must possess excellent skills in the manipulation of electronic data processing equipment and software applications relevant to the University's electronic office includes MS Word, Excel, PowerPoint, Access, and all Banner applications.
  • Ability to adapt to a changing electronic environment is also an asset.
  • Reliability and accuracy are critical.
  • It is important to have the necessary organizational skills, be able to work under pressure, and to get work done under minimum supervision.
Education and Experience:
The above is normally acquired through the completion of:
  • University degree
  • Minimum of three years of university administrative experience in an academic student environment

This position is regularly required to work on campus in person. In the event of a public health emergency or a health and safety issue, it is possible that you may be required to work temporarily remotely due to public health orders, directives and/or health and safety requirements. If this happens, you will work with your direct manager to set up a remote work environment including discussing appropriate technology and requirements. You are required to follow all University policies and directives, including to set up a safe and confidential workspace in a remote location and ensure all Carleton property (intellectual and other) is safeguarded. If required to work remotely, you will be notified by your manager when working full time physically onsite will resume.
