The Part-Time Tutor & Administrative Assistant plays a key role in ensuring smooth day-to-day operations at the learning centre while delivering high-quality, student-centered academic support. This dual role supports both the front-line customer experience and student tutoring success, helping families feel welcomed, supported, and confident in their learning journey with us.

The VICI Academic Coach and Tutor responsibilities include:
Deliver engaging, student-centered learning sessions by assessing student needs, adapting your teaching style, and building strong rapport.
Support academic growth and confidence by teaching creatively, simplifying difficult concepts, and connecting learning to student interests.
Encourage independence and lifelong learning by helping students build study habits, learning tools, and organizational skills.
Track progress and communicate effectively by submitting session summaries, updating learning plans, and maintaining respectful communication with families and the admin team.
When you are not busy educating students, you will support your fellow team and other students by taking on Key Administrative Responsibilities:
Create a seamless and welcoming client experience by greeting students, parents, and tutors warmly and maintaining the professional appearance of the centre.
Ensure smooth daily operations by providing front desk support, responding to phone/email inquiries, and managing communications with professionalism and clarity.
Maintain accurate records and documentation by supporting data entry, attendance tracking, credit balance checks, session summaries, and onboarding documentation using internal CRM and scheduling systems.
Coordinate schedules efficiently by managing tutor-student scheduling, rescheduling, and service coordination to ensure consistency and reliability.
Support business operations by assisting with hiring processes, marketing tasks, community events, and process improvements (e.g., session summary automation).
Perform other duties as assigned to support business operations.
Qualifications:
Previous experience in office administration, education, or customer service is an asset.
Skilled in lesson planning, adapting teaching strategies, and delivering student-centered instruction
Strong subject-matter proficiency (Math, English, French, Science, or other focus areas)
Ability to assess student needs, identify learning gaps, and design appropriate learning strategies
Comfortable using educational resources, digital tools, and interactive learning platforms
Strong communication and interpersonal skills to liaise with clients and tutors.
Excellent computer and technical skills: CRM, ERP, Automations, Microsoft Teams.
Ability to handle confidential information with professionalism.
Self-motivated, reliable, and eager to learn new systems and procedures.
Strong organization, multitasking, and attention to detail.
Class 5 driver's license is an asset.
Criminal Record Check (with Vulnerable Sector); CPR certification is required.
Familiarity with the local BC education system and curriculum is an asset.
