Position Summary: The Travel Operations Coordinator is responsible for the timely and cost effective delivery of accurate guest travel documents and management of supplies related to documents and fulfillment. Communicates accurate and complete data to our guests regarding relevant pre-departure holiday changes. Assists in troubleshooting issues as they arise in all operational areas of our business. Primary Functions:

  • Compile guest travel documents, based on branding, for shipping by monitoring the dashboard to prioritize early guest requests. Verify that all purchased tour components appear and are accurately reflected in the guest travel documents.
  • Print all types of guest and promotional materials as required.
  • Process all office mail and shipments in a timely manner and determine best method of shipping considering cost and time to destination.
  • Advising guests on any pre-departure holiday changes that occur between booking to departure.
  • Assist with the quality control checks on bookings and handling post sale booking administration including follow-up on waitlisted items and invoicing.
  • Maintaining supplies for the office as well as materials for guest documents and shipping materials.
  • As required, assist with group queues (running & auctioning) and touchpoints including; promotional calls, deposit due calls, flight schedule calls, hometown pick-up calls and other customer service activities.
  • In a small office environment, staff can be called upon to assist in a variety of areas within the company as needed. Support will be provided during presales stage, tour testing, reservation team, and customer service functions in this role.

  • Ability to plan, organize and prioritize work in a fast paced environment; must be able to multi-task efficiently and accurately; strong attention to detail.
  • Possess a proactive, positive, and professional approach and demeanor to their work with the ability to work well under pressure; Collaborates well with others and fosters a cooperative work environment.
  • Demonstrates skill in customer service
  • Possesses a fiscal understanding of impact to financial position.
  • Ability to effectively create and communicate through all means of communication to all stakeholders.
  • Proficient computer skills in Microsoft applications
Starting Hourly Rate: CAD $16.50
