We are currently searching for a detail-oriented Travel Coordinator to join our team in Port Coquitlam. We are looking for a highly flexible and organized individual, who wants to work in a collaborative team environment to support our projects at Baylink Networks. This is an excellent opportunity for a dynamic Coordinator to share their knowledge of travel in a fast-paced environment. The qualified candidate will support our team and work closely with our Scheduling Coordinator to book all things travel-related. We are looking for a flexible and reliable individual to join our amazing team. The Company Baylink Networks is a Canadian construction company that specializes in marine fibre-optic cable. We are based in Port Coquitlam, British Columbia and we are growing! Our mission is to connect rural communities to high-speed internet. This job is not available for sponsorship. You must be able to work part time in our Port Coquitlam office. Role & Responsibilities:

  • Arrange complex travel to a wide range of remote destinations while adhering to strict budget requirements.
  • Work with various suppliers to book, administer and manage approved travel.
  • Document, record and track all actions and bookings by completing forms, reports, logs, and records.
  • Serve as a general resource and point of contact for travel-related issues; assist employees with travel-related issues or concerns.
  • Attend and participate in scheduling meetings.
  • Monitor travel policy compliance and provide strategies to increase compliance.
  • Develop, implement, and manage all travel vendor relationships and programs (agency, air, hotel, car rental, taxi, and other travel-related services ensuring compliance with service level agreements.
  • Research, negotiate, and secure preferred rates with airlines, car rental companies, and hotels.
  • Identify savings opportunities and initiate process improvements and deployment of best practices.
  • Monitor and report on travel expenditures and compliance.
  • Complete ad-hoc projects and assignments as directed.
  • Provide excellent customer service to internal and external stakeholders.
  • Act to ensure safe and efficient travel operations, in accordance with organizational policies and guidelines.
  • Maintain a high level of communication between various departments and teams.
  • Work in collaboration with the Management team (Business Services, Operations, Permitting & Projects)
  • Change management \xe2\x80\x93 able to respond to last-minute changes and requests, have flexible availability, and work well under pressure.
  • Other duties as assigned by the Business Services/General Manager.
The successful candidate should have:
  • Two (2) or more years of experience in the travel industry or providing travel administration.
  • Experience booking travel for construction/engineering/consulting companies is considered an asset.
  • Outstanding communication skills and command of the English language.
  • Knowledge of BC transportation methods, including ferries, airlines, travel routes, and transit.
  • Full professional proficiency in Microsoft Excel, Word and SharePoint.
  • Degree or Diploma in Business Administration or equivalent experience is considered an asset.
  • Flexibility - this role involves last minute travel requests, often on weekends or evenings. We are looking for an individual who is ready to jump in and help whenever the moment needs it, so our crews aren\'t left stranded somewhere without transportation or accommodations.
  • Proficiency in the planning and booking of travel on a multi-location, deadline-driven environment with continuous availability issues.
  • Creative problem solving skills.
  • Excellent knowledge of British Columbia geography, particularly coastal locations, is considered an asset.
  • Effective communication in an open and direct manner; conveys information clearly and concisely, with strong written and verbal communication skills.
  • Strong organizational and administrative skills, including data entry.
  • Covid-19 vaccinations are required.
Who will you be working with? You will be collaborating with our various departments including Projects & Permitting, Operations, Environmental, and Construction staff, but reporting directly to our Business Services Manager.
