Clark Builders is hiring a Travel and Accommodations Coordinator on a 12-month contract. The successful candidate will provide a wide range of administrative support to the Sabina Back River Gold Mine Project in Nunavut. This position will be office-based at our Edmonton office.

Reporting to: Project Manager(s)

Duties & Responsibilities:


  • Coordinate travel schedules, reservations and logistics for large rotation-based team travelling to and from the project site in Nunavut

  • Coordinate and book camp, and hotel accommodations

  • Maintain electronic accommodations log for all site personnel

  • Maintain electronic log for all travelers

  • Maintain records of all costs associated with accommodations and travel

  • Ongoing management of shared inbox - requests and updates from the site as part of a logistics team

  • Submit all costs into accounting and to subtrades on a monthly bases

  • Ensure itineraries are distributed in timely manner

  • Maintain travel profiles for travelers

  • Tracking and documentation Covid-19 requirements (proof of vaccination)

  • Other project administrative tasks as required


Skills & Knowledge:

  • Strong organizational and time management skills

  • Strong analytical and problem-solving skills

  • Strong computer skills and proficiency in Microsoft Office 365 (Excel, Word, Outlook)

  • Demonstrated ability to prioritize and organize job responsibilities in a fast-paced work environment

  • Excellent interpersonal skills and ability build and maintain working relationships with all levels of the organization, subtrades and clients

  • Excellent customer service skills; adept at servicing multiple demands


Qualifications:

  • 2+ years of administrative experience; previous experience booking travel for large rotation-based team preferred

  • Ability to occasionally be on-call after regular office hours (fly days)
