- Transportation Coordinator (part-time)



The Transportation Coordinator, under the direction of the Executive Assistant and Executive Director, is responsible for the successful daily coordination of Central Hastings Support Network's Conventional and Specialized Transit programs. This role is integral to our community and requires the utmost care for confidentiality and superior client service.

To ensure success in the role, you should have extensive experience in communications, and display a strong ability to work under pressure. An outstanding coordinator is someone who has superior organizational skills, a sharp mind for data and an excellent memory.

A good candidate for this position will have an understanding of and support the values and mission of our not for profit organization.

Operational Responsibilities



Respond promptly and professionally to all transit-related inquiries received via phone, text, email, and website. Coordinate and manage ride schedules in an organized and efficient manner, ensuring timely communication with drivers. Establish and maintain weekly transit schedules, coordinating hundreds of rides while optimizing for accuracy and client needs. Communicate effectively and respectfully with clients and drivers, ensuring all interactions uphold confidentiality standards and organizational values. Adhere to CHSN Transit booking and cancellation guidelines, and report complex or unresolved issues to the appropriate manager. Support and reinforce compliance with all relevant organizational policies and sector regulations. Deliver exceptional customer service in every interaction, maintaining a client-centered approach at all times.

Data Management & Reporting Responsibilities



Maintain accurate and up-to-date records, ensuring all data entry and reporting align with organizational standards and timelines. Compile and prepare monthly transit statistics (e.g., ridership, cancellations, waitlists) for submission to the Board and its committees, as requested. Respond to information requests from the Executive Director, Board of Directors, and Transit Committee in a timely and professional manner. Manage client and driver databases, ensuring data integrity and confidentiality. Maintain a current contact list of agencies and community partners (e.g., media outlets, service organizations) for use in service interruption communications. Provide data and reporting support to the Executive Director for grant applications, board reports, and program evaluations, including analysis of ridership trends, driver metrics, and service waitlists.

Financials



Collaborate with the Executive Director to ensure adherence to the approved transit budget. Provide accurate and timely transit usage data to support invoicing and financial reporting processes. Assist in the development and preparation of the annual transit budget, as required. Support the Office Coordinator in processing transit fare billing and driver compensation, as needed.

Reception & Community Support



Provide front-line reception services, including greeting visitors and answering incoming calls, when the Office Coordinator is unavailable. Direct clients to appropriate internal services and external community resources based on their needs. Offer accurate and compassionate information and referrals to individuals seeking assistance. Support fundraising initiatives and special events as directed, contributing to community engagement and organizational goals.

Qualifications & Experience



Proficiency in Microsoft Office and Google Workspace applications (e.g., Word, Excel, Gmail, Google Sheets, etc.). Demonstrated experience in a fast-paced, customer service-oriented environment. Prior experience coordinating transit or medical ride bookings is considered an asset. Strong background in data management and communications-related roles.

Working Conditions



This position is primarily based in an office environment. Requires prolonged periods of sitting and regular use of a computer (approximately 75% of the time). Occasional off-site work may be required (e.g., during poor weather conditions); remote work options are available in accordance with organizational policies. Flexibility to work outside regular business hours may be requested for special events such as fundraisers or public engagements. The role may involve working under pressure due to high volumes of work, tight deadlines, and multiple competing priorities. This is a part-time position, with the potential for additional hours based on service demand and organizational needs.
Job Type: Part-time

Pay: $17.50-$22.00 per hour

Expected hours: 15 - 25 per week
