A key support role responsible for coordinating day-to-day administrative tasks, maintaining facility and breakroom standards, supporting employee services, and assisting with onboarding, documentation, and basic training initiatives. This role acts as a bridge between employees, supervisors, and plant management to ensure smooth communication, efficient operations, and a welcoming, well-organized workplace.

Responsibilities



Administrative & Office Support



Prepare and submit daily and weekly turnout reports. Manage sick calls, absences, and track approved days off in the absence management system. Handle general reception duties, answer calls, take messages, and coordinate with internal teams. Book accommodations and travel (ferries/hotels) and process Purolator shipments and tracking info. Counting office supplies and requesting order from the purchasing team. Update employee records, including uploading documents (PR, SIN, ID, etc.) in Payworks. Support coordination for contractor timesheets and ensure timely submissions. Creatively develop content for the TV, internal posters, and communications as requested. Manage signup sheets, gather supervisor approvals, and forward participant names to HR as needed Add new hires to employee databases and update the seniority list regularly. Preparing / Scheduling incoming visitors and provide the safety & gmp orientation. Issue scan cards and coordinate with relevant personnel for distribution.

HR



Assist in scheduling interviews, communicating with candidates, updating the interview tracking sheet and coordinating the interview process (plant tour).

Training Coordination



Coordinate and maintain training programs, including onboarding, job-specific training, Redzone system training, and compliance-related courses. Develop Support SOP writing and updating processes in collaboration with various teams. Track and document employee training records and certifications to ensure compliance with regulatory and company requirements. Facilitate in-person and on-the-floor training sessions, as needed. Assist with scheduling and logistics for training sessions, audits, and internal meetings.

Facilities & Employee Amenities Oversight



Monitor lunchroom cleanliness and report issues to the appropriate team. Conduct facility walk-throughs to ensure tidiness and support a clean, welcoming workspace. Manage inventory and distribution of boots and lockers, assigning and tracking as needed. Conduct random locker inspections in coordination with QA. Oversee laundry attendants, ensuring shift coverage and performance. Monitor contractor check-in processes and maintain accountability logs. Assist with maintaining boot stock and support the facility's cleaning contractor where required. Coordinate with maintenance and production teams to address facility-related needs or issues. Qualifications:



Minimum 2 years of experience in training coordination, or related field. Experience in a manufacturing, food processing, or production environment preferred. Strong organizational skills with attention to detail. Ability to communicate effectively across all levels of the organization (English required; other languages an asset). Proficient with Microsoft Office Suite (Excel, Word, PowerPoint); experience with Redzone or other production software is an asset. Self-starter with the ability to work independently and manage multiple priorities.

Pay: $47,000.00-$52,000.00 per year
