Toronto Pan Am Sports Centre Inc. is currently seeking a Full-Time

Technology, Training and Adoption Specialist

to join our team!

The Technology, Training and Adoption Specialist reports to the Senior Manager, IT and Integrated Technology Solutions and is responsible for overseeing the strategic implementation, governance, and user adoption of digital platforms such as Office 365, TPASC app, EZ facility, the organizational intranet, and department-specific business applications. This role ensures alignment between digital tools and organizational priorities to improve efficiency, communication, and user experience. It also includes creating and executing comprehensive training plans, developing materials, and delivering instruction to support effective onboarding and user proficiency across all departments.

The key accountabilities of the role include, but are not limited to:

Software Integration & System Optimization



Oversee the deployment and user adoption of Microsoft 365 applications including Teams, Outlook, SharePoint, and OneDrive Coordinate and standardize the use of software systems across departments (e.g., Finance, Human Resources, Building Operations, Sport and Recreation, Business Development etc.) to ensure consistency and efficiency Evaluate new digital solutions to improve operations and user experience Serve as the point of contact and system owner for any department-specific software purchased across the organization, ensuring technical alignment and support readiness Lead the implementation of new software tools purchased by any business unit, including integration with existing systems, configuration, and rollout Ensure all new platforms meet security, compatibility, and usability and privacy standards before deployment Understand and document software integration solutions (e.g. APIs, middleware, ELT tools) to ensure system compatibility and interoperability, translating technical capabilities into effective user training and adoption strategies. Analyze system requirements, troubleshoot integration issues, and ensure reliable performance and data integrity Maintain documentation for integration processes, workflows, and configurations Recommend improvements to system workflows and integration strategies based on organizational needs and best practices

Governance, Platform Management & Vendor Oversight



Lead the development and ongoing optimization of the organizational intranet to support staff communication, knowledge sharing, and engagement Develop policies and governance models for content, access, and user experience on enterprise digital tools Manage software vendor relationships with regards to licensing, renewals, and compliance Monitor KPIs related to system adoption, staff engagement, and platform performance Apply cybersecurity best practices in software integration and ensure compliance with organizational security standards

Project Management



Manage technology implementation projects, including cross-departmental coordination such as MS and Office 365 suite of tools. Plan, execute, and monitor software-related projects, ensuring they are completed on time, within scope, and within budget Develop project plans, timelines, and milestones, coordinating with stakeholders to align on objectives Manage project risks, identify potential roadblocks, and implement mitigation strategies Facilitate communication between technical teams, business units, and external vendors to ensure project alignment

Training, Support & User Adoption



Design and develop comprehensive training plans and materials tailored to different user groups and technology platforms Deliver training through a variety of formats, including in-person sessions, virtual and self-guided resources. Monitor launch of new/updated tools and curating training materials from other sources, e.g. LinkedIn or YouTube. Lead onboarding, training, and post-launch support for newly acquired software platforms, serving as the primary resource for staff throughout the transition Create and maintain training documentation, user guides, and resources to support non-technical staff in adopting digital tools effectively

Collaboration & Continuous Improvement



Work collaboratively with IT teams, business units, and external vendors to assess needs and define integration and system improvement requirements Stay up to date on emerging digital tools, integration practices, and system trends to support innovation Recommend process improvements and optimizations to streamline workflows, reduce technical debt, and improve user satisfaction Contribute to cross-functional digital transformation initiatives that promote efficiency, consistency, and knowledge sharing across the organization

What We Need From You:



A bachelor's degree or equivalent combination of education and experience in Information Technology, Business Systems, Digital Services, or a related field Minimum of 5 years of progressive experience leading or managing digital transformation initiatives, enterprise IT systems, or organization-wide technology platforms, including planning, implementation, user adoption, and ongoing support. Project management certification (e.g., PMP or Agile) preferred Strong communication skills, writing skills, and a high level of creativity Strong ability to problem solve, multi-task, and perform well under high-pressure situations A positive attitude, highly motivated and energetic Expert knowledge in Microsoft Office Suite and enterprise collaboration platforms (e.g., Microsoft 365) Demonstrated ability to quickly learn and master new software applications across a variety of functional domains Experience developing training content and delivering sessions to non-technical users, both in person and virtually Experience using ADP, MaintainX, NetSuite, EZ Facility an asset Familiarity with integration tools (i.e. REST/SOAP APIs, ETL, middleware such as MuleSoft or Zapier) Experience with scripting or programming languages (i.e. SQL, Python, JavaScript) and working with cloud platforms (i.e. Azure, AWS) Knowledge of database systems (e.g., MySQL, MS SQL) and project management tools (i.e., SmartSheet, Survey Monkey, MS Project, etc.) Understanding of cybersecurity best practices as they apply to software and data integrations
Three professional references will be required, and the successful candidate will be required to obtain a Police Vulnerable Sector Check.
