We are seeking a highly organized and proactive

Assistant

to support our agency's daily operations, with a focus on travel coordination, data management, and administrative support. This role is ideal for someone detail-oriented, resourceful, and comfortable managing multiple priorities in a fast-paced environment.

Key Responsibilities



Travel Coordination:

Book flights (direct with airlines only), arrange accommodations (hotels, Airbnbs), manage receipts, and ensure accurate documentation.

Data Entry & Documentation:

Maintain accurate model profiles, measurements, contracts, permits, visas, and placement details.

Visa & Document Preparation:

Support visa applications by collecting documents, preparing files, and following partner agency guidelines.

Material Management:

Keep model materials up to date (jobs, tests, digitals); share new work with worldwide agencies as directed.

Content & Design Support:

Assist with newsletters, social media content, promotional and visual materials as needed (Photoshop, InDesign, Canva skills considered an asset).

Social Media Knowledge:

Understand major social platforms, social media best practices, trends and formats, and interpret basic analytics

Administrative Support:

Schedule appointments, organize documents, draft newsletters, and take meeting notes.

Guest Relations:

Greet visitors professionally and assist with basic hospitality (coffee, water, etc.).

Expectations



Take initiative to anticipate needs (e.g., reconfirm travel during adverse weather). Complete weekly tasks, including newsletter preparation (English/French). Handle confidential information with discretion. Coordinate with agents for approvals before booking, signing, or sharing content.

What We're Looking For



Strong organizational and multitasking skills. Attention to detail and ability to follow processes accurately. Professional communication and a proactive approach. Knowledge of design tools (Photoshop, InDesign, Canva) is an asset. Familiarity with social media platforms (Instagram, TikTok, etc.) and ability to interpret basic analytics. Experience in travel coordination or agency settings is an asset.

Assistante - Agence de Gestion de Talents



Nous recherchons une Assistante hautement organisee et proactifve pour soutenir les operations quotidiennes de notre agence, avec un accent particulier sur la coordination des voyages, la gestion des donnees et le support administratif. Ce poste convient a une personne minutieuse, debrouillarde et a l'aise dans la gestion de multiples priorites dans un environnement dynamique.

Responsabilites Principales



Coordination des voyages :

Reserver les vols (uniquement directement aupres des compagnies aeriennes), organiser les hebergements (hotels, Airbnbs), gerer les recus et assurer une documentation precise.

Saisie & gestion documentaire :

Maintenir a jour les profils des modeles, les mensurations, contrats, permis, visas et details de placements.

Preparation des visas & documents :

Appuyer les demandes de visa en collectant les documents, preparant les dossiers et en suivant les directives des agences partenaires.

Gestion des supports :

Tenir a jour le materiel des modeles (jobs, tests, digitals) et partager les nouveaux travaux avec les agences internationales selon les instructions.

Support en contenu & design :

Aider a la creation de newsletters, contenus pour les reseaux sociaux, supports promotionnels et visuels si necessaire (maitrise de Photoshop, InDesign, Canva consideree comme un atout).

Connaissance des reseaux sociaux :

Comprehension des principales plateformes, bonnes pratiques, tendances et formats, ainsi que capacite a interpreter des analyses de base.

Support administratif :

Planifier les rendez-vous, organiser les documents, rediger des newsletters et prendre des notes lors des reunions.

Relations avec les visiteurs :

Accueillir les visiteurs de maniere professionnelle et assurer un service d'hospitalite de base (cafe, eau, etc.).

Attentes



Anticiper les besoins (ex. : re-confirmation des voyages en cas de mauvaises conditions meteo). Realiser les taches hebdomadaires, notamment la preparation de la newsletter (anglais/francais). Gerer les informations confidentielles avec discretion. Coordonner avec les agents pour obtenir les validations avant toute reservation, signature ou partage de contenu.

Profil Recherche



Solides competences en organisation et en gestion multitaches. Grande attention aux details et respect rigoureux des procedures. Communication professionnelle et approche proactive. Connaissance des outils de design (Photoshop, InDesign, Canva) est un atout. Maitrise des reseaux sociaux (Instagram, TikTok, etc.) et capacite a interpreter des analyses de base. Experience en coordination de voyages ou en agence consideree comme un atout.
