Job Overview


We are seeking a dedicated and organized Agent Assistant to join our office team. The ideal candidate will possess strong administrative skills and have experience in a fast-paced office environment.

In-Office Agent Assistant needed at busy Talent Agency
- fun and fast paced environment -

5 DAYS A WEEK: MONDAY TO FRIDAY - 10am to 6pm ( working at our Burnaby office / Brentwood Mall area )
- Must have flexibility to work later on busy days

Duties include:
- Customer Service
- administrative and office support
- assisting the agents
- answering phones / reception ( greeting clients )
- arranging appointments / managing calendars
- data entry
- providing in-person orientation / instruction to new performers

Qualifications:
- Must be fluent in English, both spoken and written
- Must be a people person and work well in a team environment
- Good Communication, Organization Skills and Multi-tasking Abilities are necessary
- Problem-solving skills required
- Attention to detail and ability to follow specific instructions is a must!
- Requires knowledge of Microsoft Office ( primarily Excel and Word ), as well as Email and Internet
Knowledge of the Film Industry is an asset

Responsibilities



Perform data entry and maintain accurate records in QuickBooks and other software applications. Manage front desk operations, including greeting visitors and answering multi-line phone systems with professionalism. Provide exceptional customer support by addressing inquiries and resolving issues promptly. Assist with filing, organizing documents, and maintaining an orderly office environment. Utilize Microsoft Office and Google Workspace to create documents, spreadsheets, and presentations. Conduct proofreading of documents to ensure accuracy and clarity. Support bookkeeping tasks as needed, including invoicing and tracking payments. Collaborate with team members to facilitate effective communication and workflow within the office. Maintain confidentiality of sensitive information in accordance with company policies.

Qualifications



Previous office experience is preferred, with a focus on administrative roles. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace is essential. Strong computer skills with the ability to learn new software quickly. Excellent organizational skills with attention to detail for accurate data entry and filing. Effective phone etiquette and strong communication skills for interacting with clients and colleagues. Experience in customer service or support roles is highly desirable. Ability to work independently as well as part of a team in a dynamic setting.
