The
Surgical Unit Front Desk/Medical Administrator
plays a vital role in ensuring efficient operations within the surgical unit. Reporting to the Operating Room Manager, this position is responsible for managing patient interactions, processing billings, coordinating surgical inventory, and handling administrative communication with other departments. The role also includes responding to post-operative inquiries and providing compassionate and professional assistance to patients and their families.
Must be able to work for Scarborough and Vaughan locations.
Key Responsibilities
Patient Coordination
:
Greet and register patients for surgical appointments using the Oscar EMR system.
Verify and update patient health records and contact information.
Ensure all required diagnostic and surgical documentation is collected and organized.
Post-Operative Communication
:
Respond to patient calls related to post-operative care, ensuring timely and accurate information is provided.
Escalate medical concerns or complex inquiries to the appropriate medical personnel.
Billing and Payment
:
Accurately process patient billings for surgical procedures, lenses, and related services.
Collect payments from patients and ensure proper documentation of all transactions.
Generate billing summaries and maintain compliance with cash handling protocols.
Surgical Inventory Management
:
Receive, verify, and manage all surgical lenses and deliveries.
Track inventory levels and notify the Operating Room Manager of any shortages.
Ensure proper storage and timely availability of surgical supplies.
Administrative Communication
:
Act as the primary liaison between the surgical unit and other departments.
Communicate operational updates, patient schedules, and administrative matters effectively.
Resolve queries from other departments and escalate concerns as needed.
Operational Reporting
:
Update and maintain daily operation numbers, ensuring accuracy for reporting purposes.
Prepare and submit daily, weekly, and monthly reports as required by the Operating Room Manager.
General Administration
:
Answer calls and emails related to surgical unit inquiries.
Manage appointment bookings and surgical schedules to avoid errors or conflicts.
Handle confidential patient information with professionalism and adherence to privacy protocols.

Qualifications
Education
:
Completion of a one- or two-year college program or a bachelor's degree in medical/healthcare administration, Science, or a related field.
Experience
:
Minimum 1-2 years of experience in medical administration or a related role, preferably in a surgical or ophthalmology setting.
Skills
:
Proficiency with EMR systems (Oscar EMR experience preferred).
Strong organizational and time-management skills.
Exceptional interpersonal and communication skills (verbal and written).
High attention to detail and problem-solving ability.
Knowledge of medical terminology (an asset).
Demonstrated ability to handle billing, payments, and cash handling protocols accurately.
Ability to multitask and work in a fast-paced environment.
Empathy and professionalism when interacting with patients, particularly post-operative individuals.
Must be able to work with both Vaughan and Scarborough location per request
Must be able to work on BOTH Saturdays and Sundays.
