About the Position
In this role, the chosen candidate will be expected to handle the office administrative responsibilities, including; reception, answering phones, filing, and records management. They will also be responsible for managing accounts payable & receivable for the location, which includes writing purchase orders for maximo and non-maximo items. In addition the Supply Chain Specialist will maintain chep pallet transactions & inventory, and will also manage facility courier and sample product shipments, along with the corresponding export documentation (if applicable). This candidate will be the primary vacation backup for the Office Manager and will assist in providing support for other employees in the office as needed.

Duties and Responsibilities

  • Report to the Commercial Manager
  • Office Administration - reception, answering phones, filing, and records management
  • Maintain facility accounts payable/receivable
  • Enter and maintain chep pallet transactions/inventory
  • Complete maximo PO writing and receiving
  • Manage courier and sample product shipments
  • Create and manage facility export documentation
  • Daily production report entry (Backup to Office Manager)
  • Daily position report entry (Backup to Office Manager)
  • Maintain Attendance Enterprise system and IBM payroll (Backup to Office Manager)
  • Weekly crewing and tracking of vacation, and absenteeism (Backup to Office Manager)
  • Manage daily, weekly and monthly flour inventories (Backup to Office Manager)
  • Complete month end related functions (Backup to Office Manager & Inv Clerk)

The successful candidate must have strong organizational, communication, and problem solving skills, and be an active participant in a team environment. Excellent computer skills are an asset (Microsoft applications).

Applicants with at least 3 years of office experience are preferred. The candidate will need to have a confident and courteous manner. This position requires sitting for prolonged periods of time, heavy phone use, and standing, bending, kneeling and operating a keyboard.

Education or Work Experience
Ideal candidate will have a HS Diploma or GED equivalent along with basic proficiency in Word-Excel-Outlook. The candidate must be able to hear and speak clearly; read, comprehend, and communicate, orally and in writing in order to effectively communicate in person or by telephone. The candidate must be able to use a calculator and have basic mathematics skills.
