Job Description

Role impact:

Oversee and manage the maintenance of accurate client account information in effort to communicate on a regular basis with clients in order to provide them with current account status and to avoid delinquency. This position is responsible for more complex tenant accounts and managing national level client relationships with oversight and review of work completed by the Revenue Coordinators. Act as supporting partner to the Operations Team in effort to provide high quality information to facilitate Tenant conversations on outstanding AR. Manage Revenue Coordinators to achieve company direction AR objectives. Provide training to direct reports.

What you will deliver:

  • Oversee the collections of accounts receivables as per company objective standards by ensuring the timely collection of all rents
  • Review and post rent roll and associated charges in finance system as per lease agreement
  • Maintain an up-to-date record of all negligent accounts by preparing a variety of accounts receivable reports and letters such as, but not limited to, account statements and correspondence to each tenant, doubtful accounts, write-offs, and proof of claims
  • Review and post all client billings, rental notices and parking income including year-end notices through finance systems on a timely and accurate basis and forward to all clients to ensure the availability of all relevant information and to limit the possibility of outstanding accounts
  • Manage the accurate review of information related to clients' leases; prepare correspondence such as, but not limited to, rental notices and welcome letters; liaise on a regular basis with clients in order to develop and maintain good working relationships
  • Respond to inquiries from clients by reviewing leases and billings for discrepancies and making necessary adjustments
  • Analyze all clients' sales productivity, fluctuations in percentage rent account and timing of payment remittances, etc. to initiate and coordinate client sales audits on a semi-annual basis for the clients and for preparation of monthly sales commentary
  • Review analysis of utility accounts and prepare timely billings to metered clients
  • Prepare 5th of the month analysis of outstanding Rent to ensure company objectives have been met
  • Review and approve accounts receivables comment reports for escalation to Executive report.
  • Ensure status of outstanding amounts have been categorized by type allowing effective management of outstanding amounts
  • Ensure monthly recoveries estimates are reconciled for timely calculation of recovery accruals
  • Reconcile specialty leasing contracts and ensure agreements are processed in finance systems
  • Review and post mass maintenance of estimated recovery rates
  • Review miscellaneous billings for service-related charges
  • Provide oversight and management for a team of Revenue Coordinators including coaching, support and review of work product and setting of objectives
  • Facilitate monthly AR meeting with GM, VP of Operations and Revenue Coordinators ensuring action items are addressed timely
  • Provide training as required
  • Participate in the development of the new system enhancements as required to support the Revenue and AR functions
  • Lead National Tenant program ensuring accounts are paid timely
  • Provide AR information to stakeholders as required

What you need to succeed:
  • College or University degree in Finance, Accounting, Commerce, Business, or relevant work experience
  • 3-5 years' experience in an Accounting or Billings position
  • 1-2 years' experience in a supervisory role
  • Experience in Real Estate and/or Property Management
  • Good understanding of accounting principles, leases and related documentation
