Schedule: Monday & Tuesday: 8:30 AM - 4:00 PM
Wednesday & Thursday: 1:00 PM - 8:30 PM
Friday: 8:30 AM - 4:00 PM

The Opportunity:
The Program Admissions Supervisor is responsible for coordinating approximately 500 students. The duties primarily include supervising LINC staff and participating in their recruitment and selection. The supervisor will participate in the coordination of work for IRCC program staff in the Language Program and monitor the performance of staff.
Key Responsibilities:

  • Assigns work, provides direction to IRCC Program Assistants and ensures that assigned tasks are completed. Ensures effective and appropriate shift coverage;
  • Orients and trains LINC Program Assistants;
  • Monitors the performance of staff. Provides feedback on their performance and participates in their performance evaluations;
  • Participates in the recruitment and selection of Program Assistants by performing duties such as advertising vacancies, screening resumes, interviewing applicants and providing input on selection;
  • Evaluates, develops and recommends office procedures and practices to senior management. Ensures that approved office policies, practices and procedures are understood and followed;
  • Responds to outside inquiries about services offered by the organization. Communicates with other community service agencies and/or ministries regarding client enrolment in and attendance at programs;
  • Tracks program expenditures by recording expenses, alerting the supervisor to budget overruns and unusual expenses and authorizing purchases;
  • Collects, researches, organizes and summarizes data from a variety of sources and assists in producing reports as required by the agency and IRCC;
  • Maintains client and program information using spreadsheet and/or database software;
  • Produces ad hoc reports from database as required by the supervisor and IRCC by identifying and organizing the required information, compiling data, designing format, and printing reports.
Qualified candidates will posses:
  • Post-secondary training or certificate in Office Administration and a minimum of 5 years'
  • experience in ELSA/LINC or other funded immigrant refugee service program;
  • Minimum of two (2) years supervisory experience;
  • Excellent written and spoken English communication skills;
  • Ability to communicate effectively with people with limited English proficiency;
  • Strong computer literacy skills (MS Word, database, Excel, Page Maker, VISIO and Access), with at typing speed of 55-60 wpm;
  • Proficient with iCARE;
  • Ability to work with minimal supervision and meet deadlines;
  • Proven organizational and time management skills;
  • Ability to take initiative and problem solve;
  • Ability to work cooperatively in a team environment;
  • Must be flexible to accommodate/support evening LINC Program Assistants;
  • Experienced in the LINC registration process and in communicating with a diverse group of government agencies in order to aid clients;
