  • Performs reconciliation of one cluster within Student Success (ranging between 25 to 30 orgs) on recurring basis to ensure all financial information posted on FAST accurately represents internal departmental records, initiate corrections as necessary. Provides back-up for additional clusters within the Division.
  • Analyzes and interprets annual budgets for all fund types incorporating historical data, current activities, and anticipated activities to forecast budget for the current fiscal year.
  • Resolves finance and accounting issues as they arise within the cluster.
  • Prepares and processes purchase orders for 20+ budgets/orgs, tracks all orders to ensure working condition and delivery.
  • Prepares timesheets for departments within the assigned cluster.
  • Maintains the DHHS system. Ensures all required support staff in assigned cluster are adequately trained on finance policies and procedures, including those relating to procurement and budget.
  • Supports the coordination of human resource processes with the hiring of part-time admin, support staff, student and faculty hiring, contract implementation in accordance with HR policies and collection/review/processing of Payroll.
  • Coordinates the offer letter process for the assigned cluster, ranging from 150-200 letters per semester.
  • Coordinates training on Cornerstone, Human Resources, Payroll and Finance policies and procedures.
  • Liaises with HR, Payroll, and the Student Success cluster to ensure payroll information is accurately processed and analyzed.
  • Advises staff on inquiries about pay concerns, investigate further if needed. If required liaise with HR and Payroll to resolve any issues
  • Creates and maintains custom reports to manage departmental budgets and rectify any discrepancies between department budget records and Millennium FAST records.
  • Assists in the compilation and analysis of financial data for Ministry reporting as required by the Manager of Divisional Finance and Operations manager.
  • Researches, manages, and implements Special Projects geared toward divisional process improvements.
  • Provides back up coverage for the other 2 clusters as needed.
  • Other duties as assigned.
Educational and Experience Requirements:

  • Three-year diploma or degree from a recognized post-secondary institution in Business or Accounting.
  • Excel with Macros and VBA Record of Achievement (completion of 3 levels) or equivalent is required.
  • Minimum five years\xe2\x80\x99 experience in financial support role with experience in financial analysis and planning, statistical reporting, knowledge of HR, Finance and Payroll policies, coordinating and training employees; exceptional time management and organizational skills.
  • In depth data analysis training and /or experience needed. Project management experience is an asset.
  • Experience using the DHHS system an asset.
  • Proficiency in MS Office; accurate data entry skills and a strong aptitude for detail and accuracy. Practical experience using Microsoft Lists and Microsoft Teams skills required.
