Job Description


Position: Student Services Officer/ Academic Support Reports to: Manager, Student Services Primary Duties and Responsibilities: The Student Services Officer/ Academic Support provides information and customer service relating to prospective and current students, programs, policies, applications, admission, registration, records, general advising, and related activities through inbound and outbound contacts via multiple contact channels. This position is often the first point of contact in Student Services and contributes to a strong, positive student experience by creatively responding to and resolving student issues, either through initial contact or working collaboratively with other Alpha College colleagues. This position works closely with all areas and many levels of the institution. Student Services:

  • Represent Alpha College to prospective students and promote Alpha programs;
  • Provide support to students and prospective students via telephone, email and in person;
  • Provide customer service to students and resolve problems in relation to their files;
  • Plan, organize and encourage student participation in events and activities;
  • Coordinate activities related to admission, registration and graduation;
  • Additional duties as assigned.
Academic Support:
  • Provide academic counseling and guidance to students to help them make informed decisions about their educational and career goals.
  • Assist students in selecting appropriate courses and developing academic plans that align with their interests, major requirements, and graduation goals.
  • Aid students in the course registration process, ensuring they meet prerequisites and adhere to registration deadlines.
  • Monitor students\' academic progress and work with them to address any academic challenges or concerns, such as low grades or course withdrawals.
  • Offer guidance on career options, internships, and job opportunities, and help students create resumes and prepare for interviews.
  • Conduct orientation sessions and workshops to help new students navigate the academic environment, understand policies and procedures, and develop study skills.
  • Refer students to campus resources, such as tutoring centers, counseling services, and disability support, to provide additional assistance when needed.
  • Additional duties as assigned.
Administration:
  • Organize, analyze, and update reports, spreadsheets, and templates for effective time management, accurate data integrity, efficient student communication, and student retention;
  • Assessment and processing student applications on the OCAS application portal;
  • Maintain confidentiality of student records and optimize the operations of the office;
  • Perform administrative duties such as file maintenance and record systems;
  • Provide administrative and secretarial support for student affairs activities; an
  • Collaborate with faculty, department heads, and academic administrators to improve advising processes and contribute to academic program development.
  • Additional duties as assigned.
Admissions and Enrollment management:
  • Represent Alpha college to prospective students and promote alpha programs
  • Assessment and processing student applications on the OCAS enrollment system
  • Tracking and , following up on leads and providing encouragement to potential students
  • Completing enrollment of new students and providing initial information on payment options as necessary
  • Ensuring all student documentation and files are complete in all appropriate systems
  • Tracking and reporting on weekly activities (i.e. Leads appointments, interviews, enrollment).
  • Following up on cancellations
  • Other duties as assigned.

Education / Experience Requirements:
  • Previous customer service or education sector experience considered and asset
  • Bachelors\xe2\x80\x99 degree, post-graduate or diploma in related field required
  • Intermediate skill in Microsoft Office Suite (Word, Excel and Power Point)
