, where you'll play a key role in managing course registrations, tracking student progress, and ensuring everything runs smoothly.



The Faculty of Nursing offers five program routes in collaboration with Saskatchewan Polytechnic between two sites: Regina and Saskatoon. There are approximately 1,600 students between all sites and programs. This is one of two positions dedicated to student registration and tracking. It is an on-site position located at the University of Regina.


Reporting to the Academic Program Coordinator, Faculty of Nursing, this position is responsible for registering nursing students in their required courses throughout their degree. In addition to registration, this position is responsible for tracking student progress, completing audits to determine course capacity needs, assisting with the scheduling of courses, and supporting the front desk as needed. The undergraduate nursing student services team has ten members working collaboratively to support nursing students. Our office keeps a steady pace and is comprised of people who are efficient, demonstrate a strong work ethic, and are always willing to help one another. What You Will Do:


Exercise your ability to use critical thinking and organizational skills:

You will be responsible for managing workflow to ensure tasks are completed efficiently and accurately, meeting key deadlines. You will utilize your critical thinking skills to analyze data to make informed decisions and provide key information to leadership. You will need strong organizational skills to maintain student tracking information, which informs registration, academic action, graduation, etc.

Registration and Tracking of Undergraduate Nursing Students:

You and your fellow registration partner will manage full-year registration of approximately 1,600 nursing students across two sites and multiple program options. To complete registration accurately, you will manage detailed and continuous student data, including program progression. You will also provide forecasting information to determine scheduling and capacity requirements for future terms.

Convocation and Academic Action:

You will be responsible for tracking student progression within the program, including students preparing to graduate. This entails auditing student progression to ensure they meet the graduation requirements. You will prepare preliminary audits of convocation applications and completion of the convocation process. This position is also responsible for compiling information and preparing correspondence regarding academic action. This includes managing internal tracking sheets and pulling reports to determine which students need academic action applied to them.

Maintain student records and confidential information:

You will maintain and update electronic student records regularly. You will be responsible for creating and maintaining spreadsheets and collecting data. You will compile data and information, prepare correspondence, and audits for a variety of academic actions and processes (e.g., scholarships, Dean's Honour List, convocation processes, attrition tracking, etc.).

Be a point of contact for current and prospective nursing students:

You will support both current and prospective students by responding to in-person, telephone, and email inquiries. Answering inquiries related to course registration procedures, assisting students with in-person and online registration, and providing support with special registration permissions. You will also assist in managing various shared email inboxes to ensure inquiries are responded to efficiently and accurately. You will also refer inquiries to an Academic Advisor, Program Coordinator, or Associate Dean as needed.

Assist with Faculty of Nursing events:

You will be part of various exciting events such as recruitment, convocation, and new student group advising. You may be required to attend off-campus events throughout the year.

Supports the Undergraduate Student Services Team:

You will contribute to operational student services processes. Work collaboratively with program and university partners to complete various administrative tasks. Provide backup for other student services administrative support positions, including the front desk and scheduling. You may also be required to assist with preparing and disseminating meeting agendas and minutes, participate in exciting events such as recruitment, convocation, and new student group advising. Position Requirements

What You Will Bring to the Position:

Grade 12 is supplemented by the successful completion of a recognized business course; Minimum of three years of experience related to the required duties; An equivalent combination of education and experience may be considered.





Skills to Ensure You are Successful in the Role:


Demonstrated knowledge of office practices, principles, and procedures. Excellent organizational skills, including a proven ability to work effectively with minimal supervision, prioritize work, balance multiple tasks, and shifting priorities. Strong attention to detail and accuracy is required. Proficiency in using MS Office 365 (Word, Excel, PowerPoint, and Access). Strong oral and written communication skills - ability to effectively communicate with faculty, staff, program partners, students, and community. Strong service-orientated background. Ability to handle confidential material with discretion. Exceptional interpersonal skills and an ability to develop and maintain effective collegial working relationships. Knowledge of the University of Regina's programs, policies and processes, including registration, convocation, academic action, transfer credit, and grade change processes. Knowledge of University information systems, including Banner, CASPUR Reports, Degree Audit, and Outlook. Knowledge of University policies on academic evaluation, discipline, and appeals (e.g., deferrals, withdrawals, academic misconduct, and academic appeals). Demonstrated reliability and good judgment. Ability to demonstrate analytical and critical thinking skills. Demonstrated skill in learning and operating a wide variety of databases and information systems. Work outside regular hours may be required on occasion.



Physical Demands
Extended periods of sitting at a computer daily. Standing, walking, or temporarily relocating from the assigned office to the front desk will be required to accommodate vacation coverage. May be required to lift promotional materials, move tables, and set up displays.


Pay Grade CUPE Phase 5 Salary Range $54,691.00 - $73,837.40 Annually Status Term Work Hours
