The Centre for Teaching and Learning (CTL) supports faculty and course instructors in their professional development as teachers, and provides consultations, resources, and technology support to enhance learning in their courses and programs. CTL also enhances academic skill development both within and beyond courses through our English Language Development Support, Facilitated Study Groups, Mathematics and Statistics Learning Support, Experiential Learning, and Writing Support programs.

Your opportunity:

You will provide analytical, organizational, and administrative support for CTL student programming (Writing Support, Math & Statistics Support and the English Language Development Support) to ensure these student supports run efficiently.

Your key responsibilities will include: creating and managing the efficient and effective process of data gathering, compiling and reporting data for Program Coordinators and decision-making, maintaining and monitoring the database for various student programs, coordinating and executing the intake process and developing and compiling statistical reports. In addition, you will be coordinating test events, communicating test results and follow-up recommendations to students. You will also collect data and provide analyses that will be used in the production of reports on Academic English Heath Check results. You will be responsible for program space scheduling such as writing tutors/student\'s appointment scheduling and teaching assistant office hours, confirming all booking requests and resolving scheduling conflicts.

You will also be a key player ensuring that aspects of the CTL website and digital signage are maintained. You will oversee the administration of test scanning and course evaluations, verify hours of work for casual staff on timesheets, take care of the logistics and planning for all workshops, professional development sessions, certificate ceremonies, and other related events.

Your responsibilities will include:

  • Collecting data (e.g. student attendance lists, program data, Academic English Health Check uptake and results, tracking weekly student progress)
  • Preparing statistical reports and summaries from data collected (e.g. attendance statistics, student evaluation summaries for one-on-one tutoring sessions)
  • Conducting detailed data analysis to inform management decision making (e.g. analyzes data collected to assist in planning of student programming)
  • Scheduling appointments (e.g. schedules one-on-one student appointments with tutors, manages wait lists and coordinates space; coordinates test events, schedules, and times)
  • Disseminating and collecting surveys and questionnaires (e.g. program surveys, instructor evaluations)
  • Booking rooms and arranging appropriate accommodations
  • Determining logistical details and activities for events and/or programming (e.g. Books test events, workshops, professional development sessions, certificate ceremonies and other student program events. Oversees advertising, materials, catering, suppliers and required resources and equipment).
  • Scanning, filing and copying documents (e.g. administers test scanning and course evaluations)
Essential Qualifications:
  • Advanced College Diploma (3 years) in business administration or equivalent combination of experience and education.
  • Minimum three years\' related experience in business administration
  • Must demonstrate skills and knowledge in data analysis
  • Must have experience with event planning, coordination, and execution
  • In-depth experience using Microsoft Office Suite (Word, Excel, PowerPoint), internet, e-mail, scheduling and web applications
  • Must be proficient utilizing databases, including pivot table and mail-merge functionality
  • Must have excellent data management, analysis, and reporting skills
  • Must be able to demonstrate solid organizational, interpersonal and communication (oral and written) skills
  • Must be detail-oriented, have analytical abilities
  • Sound judgement, discretion, and diplomacy
  • Ability to work well in a team environment as well as independently
  • Must show evidence of a commitment to equity, diversity, inclusion, and the promotion of a respectful and collegial learning and working environment.
