The Municipality of Chatham-Kent is currently accepting applications for an Accounts Processing Assistant student. The position will start approximately May 1, 2024, for a period up to August 30, 2024.

Job description

The Accounts Processing Assistant student is responsible for processing payments in the Accounts Payable and/or Accounts Receivable areas.

Essential responsibilities

  • Demonstrate Chatham-Kent\'s core values and competencies
  • Accounts Payable
  • Process vendor invoices and produce cheques and EFT payments
  • Reconcile VISA Purchasing Card envelopes to statements and maintain annual cardholder files
  • Maintenance of vendor files as to name, address and other pertinent information
  • Reconcile utility PAPs daily and reconcile monthly to bank account
  • Receive and sort vendor invoices, cheque requisitions and petty cash requests ensuring tax codes, due dates, coding, authorization limits are accurate
  • Accounts Receivable
  • Maintenance of tax accounts (i.e. name and address changes, mortgage info updates)
  • Assist in preparation of accounts receivable invoices
  • Performing functions associated with the processing, collecting and payment of accounts receivable and property taxes in all forms of currency
  • Ensure post-dated cheques are processed
  • Assist in processing applications for legislated rebate programs; assist ratepayer with preparation/completion of these applications as needed
  • Will gain experience working in a team-oriented environment
  • Communicate with both internal and external customers
  • Count and summarize Parking Meter/Lot and Bus revenue
  • Additional project duties as assigned
Essential qualifications
  • To qualify for this summer student position, students must currently be enrolled in school full-time for the 2023/2024 winter term (normally ending April, May or June) and/or returning to school full-time in the 2024 fall term (normally starting in August or September)
  • Currently enrolled in a post-secondary financial/mathematical program
  • Experience working in an office environment
  • Good telephone/customer service skills to respond effectively/tactfully to people at all levels
  • Good organization and time-management skills
  • Previous cash handling experience
  • Strong computer skills, specifically Microsoft Office (Word, Excel, PowerPoint, Outlook) (or similar software program)
Work environment/hours of work
  • This position works indoors
  • This position works weekday hours

The Municipality of Chatham-Kent no longer requires a COVID-19 vaccination as a condition of employment. Although it is not mandatory to be vaccinated, it is highly encouraged.

Background check requirements

Because of the environment this position will be working in, the successful candidate will be required to furnish an original Police Information Search (criminal reference check) prior to commencement of employment

  • Sitting: constant sitting in a chair (constant at desk)
  • Hands: constant fine finger dexterity (movement), mousing (computer keyboarding and mousing, telephone, adding machine)
