The Leisure Days RV Group has a full-time career opportunity for a Sr. Administrative & Accounting Assistant at its head office in Ottawa, Ontario. This is an on-site position, working Monday to Friday.

Overview:




The Senior Administrative & Accounting Assistant ensures the efficient operation of the front office by maintaining the overall flow of workplace operations. In this role, you are the central point of contact for clients and employees alike and generally keep track of employee directories, essential contact information, senior leadership and senior management team schedules, handling all of the record keeping and incoming messages, and supporting various departments. You will also perform accounting tasks in support of the company finance team.


Our ideal candidate has strong financial acumen, as well as a combination of experience and/or education in administration and finance. This role requires integrity, professionalism, dedication and attention to detail.

Compensation

: $60,000 - $64,000/yr, depending on experience + vacation pay, group benefits, and an RRSP with employer match

Key Responsibilities & Accountabilities:



Cover the reception desk, answer, and direct phone calls, greet, and provide general support to visitors. Organize and schedule appointments and meetings and maintain contact lists. Produce and distribute correspondence (i.e.: memos, letters, faxes, and forms). Assist in the preparation of regularly scheduled reports. Assist with the coordination of internal projects and ensure deliverables and deadlines are met. Coordinate logistics for internal meetings, events, or town halls including catering, setup, and follow-up communication. On occasion support off site events. Develop and maintain a filing system. Order office supplies, book travel arrangements, and submit/reconcile expense reports. Provide information by answering questions and requests. Take dictation, research, and create presentations. Generate reports, prepare, and monitor invoices, and handle multiple projects. Ensure operation of equipment by competing preventative maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and technologies. Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for suppliers; verifying receipt of supplies. Maintain professional knowledge by attending educational workshops; reviewing professional publications; establishing personal networks. Carry out administrative duties such as filing, typing, copying, binding, scanning, etc. Perform financial tasks in support of the finance team. Book conference calls, rooms, taxis, couriers, hotels, etc. Maintain digital and manual filing systems. Handle sensitive information in a confidential manner. Take accurate minutes of meetings. Resolve administrative problems, receive, sort, and distribute the mail and conduct data entry. Organize and manage an active calendar including scheduling meetings, engagements, and appointments. Communicate effectively on the telephone and via email, ensuring that all duties are completed accurately and delivered with high quality and in a timely manner. Rely on experience and judgement to plan and accomplish goals with a wide degree of creativity and latitude. Respond to internal and external requests for information and follow through to ensure requested actions are taken or completed.

Essential Skills & Qualifications:



5 - 7 years' administrative experience supporting senior management/leadership team. 2 - 4 years' accounting experience. Demonstrated proficiency in all aspects of MS Office (Outlook, Word, PowerPoint, Excel, Teams). Superior level Excel skills an asset. Exceptional prioritization and organizational skills. High level of accuracy and attention to detail. Excellent customer service orientation and understanding of diplomacy and confidentiality. Demonstrated ability to interact professionally with people at various levels of an organization. Excellent verbal and written communication skills. Ability to multi-task in a deadline driven environment. Initiative, strong judgement, and problem-solving skills. Bilingualism (English/French) is an asset. Valid First Aid Certificate as well as some Health & Safety experience is an asset.
