As UGM's Specialist, Internal Communications, you'll play a key role in ensuring our staff stay informed, inspired, and aligned with our life-changing mission.
Reporting to the Manager, Media Relations & Communications (MMRC) and working as part of UGM's Marketing and Communications Team, the Specialist, Internal Communications (SIC) leads, develops, and executes internal communications projects across multiple channels, all with the goal of promoting and enhancing external awareness of Union Gospel Mission, serving UGM's community, and supporting UGM's life-saving work throughout Metro Vancouver and the Fraser Valley.

Create and execute project work plans using project management software. Revise as appropriate to
meet changing needs and requirements.
Maintain systems/channels of communication including cascading communication and feedback between staff and leadership, interdepartmental communication, and initiatives.
Preparing planning documents, project plans, campaign calendars, asset lists and reports
Proactively develop an annual calendar for strategic organizational needs, and develop content for urgent Internal Comms campaigns, as needed.
In partnership with MMRC, develop Internal Communications Strategy for the organization, including key messaging, communication channels and tactics.
Partner with key organizational stakeholders to ensure all internal communication is clear, consistent, and aligned with UGM's long-term strategic vision, core values and mission.
Promote employee engagement and help foster a positive organizational culture, collaboratively with People & Culture.
Present quarterly Internal Communications strategy review with key stakeholders, ensuring organizational alignment and strategic focus across internal channels.
Develop and launch Internal Influencer Network.
Manage, maintain and keep up to date, all Media Relations & Communications folders and process documents.
+ This includes but is not limited to: Internal Communications RACI Chart & Channel Matrix/Framework, MRC folders, and all process documents for team. Maintain UGM's Internal Communications tools & external software ensuring they are up-to-date, user-friendly, and aligned with UGM's goals and values.
Develop segmented communications for staff groups; utilize A/B testing, creating personas etc.
Oversee UGM's internal channels and their content - including design, layout, and messaging; provide copy-edits and reviews to Assistant, Media Relations & Communications.
Plan all content channels and keep smooth flow; analyzing for timeliness, ensuring information overload doesn't happen with teams; analyzing metrics and pulse surveys.
Solution Box: Monitor & respond to Solution Box inquiries - ensure that staff are responded to in timely manner.
Staff Surveys: Collaborate with People & Culture and other key departments on internal staff surveys, including review of Employee Engagement Survey for Internal Communications feedback.
All-Staff Meetings, All-Staff Unplugged & Ask Us Anything: Collaborate with Executive Team and Executive Assistant for success of these events to increase employee engagement.
Continuously work towards One Mission by encouraging all levels of staff to follow best practices for Internal Communications, including partnering with other departments to create process and policy documents that delineate roles and responsibilities for all-staff communications

Digital Signage:
Under direction of MMRC oversee and maintain success of Digital Signage Channel
Collaborate with and train internal stakeholders
Keep track of all hardware, software, and operations at all UGM locations across region
Partner with IT to ensure players are streaming correctly
Maintain partnership with vendor
Coordinate and design new slides; review templates on quarterly basis; review analytics and develop strategic goals

Media Relations & Crisis Communications
Assist with Major Meal media relations campaigns four times per year as directed by Manager, Media Relations & Communications (MMRC) and/or Specialist, Media Relations (SMR)
As directed by MMRC, assist in Crisis Communications drills and events; ensuring all employees are informed.

Leadership & Collaboration
Committed to providing servant-leadership nourishing a truthful, forgiving, approachable, joyful, healthy environment.
Model open communication and work collaboratively within the External Engagement department and UGM as a whole for the good of the organization, in support of UGM's mission, core values and strategic plan.
In collaboration with Coordinator, Community Engagement, provide bi-monthly new hires orientation for Public Engagement team.
Oversee outside consultants and vendors such as Simple Texting, Contact Monkey, and Slido.

Knowledge, Skills and Abilities
College or University degree in Communications, Business Administration, or related discipline.
Internal Communications Certification and/or 3+ years work directly in Internal Communications, Corporate Communications or related field.
Consideration may be given to alternate combinations of lived experience and education.
Excellent communication skills in verbal and written English.
Excellent interpersonal and relational skills
Strong project management skills and excellent attention to detail
Association membership with IABC or CPRS an asset.
Experience with content creation and delivery, including email, newsletters, intranet, videos and presentations
Experience with project management software and Interal Comms tools such as Asana, MS Teams, MS SharePoint, Contact Monkey, YoDeck, Texting software etc.
A valid BC driver's license and access to a vehicle, is an asset
Working Conditions
Work Location
Work is generally performed indoors within an office environment, with standard office equipment available. A combination of in-office and remote work should be expected.
Physical Requirements
Work is generally sedentary in nature, but may require standing, walking or reaching for up to 30% of the time. Employee is required to look at a computer screen and use a keyboard for up to 70% of the time.
Work Conditions
Working environment is generally favorable. Lighting and temperature are adequate. Work is performed amid normal conditions of dust, odors, fumes, and noises.

Moderate overtime may be required.
