is currently seeking a Full-time Temporary Relief

Specialist, Graduate Student Services

for approximately 9 months.


The Haskayne School of Business (HSB) has approximately 4,000 full- and part-time students enrolled in bachelor's, master's, doctorate, and executive education programs. The School boasts over 25,000 alumni in more than 60 countries. HSB is intending to grow its graduate programs and is looking for opportunities where it can provide unique programs. This position is tasked with facilitating this growth by supporting the student journey through the delivery of all aspects of student services, particularly in student administration and advising.


The Graduate Student Services position reports to the Manager, Graduate Student Services, and is a member of the Haskayne Student Services team. This position is key to the graduate student journey and collaborates cross-functionally with others in Student Services, Haskayne and other faculties throughout the university. The incumbent works with limited direction and sets own priorities and deadlines ensuring all deadlines are met or negotiated as required. This position works with a broad range of stakeholders, including students, faculty, peers, management, and constantly deals with complex issues.


Stressors include dealing with the demands of multiple projects initiation and implementation, sensitivity of multiple simultaneous deadlines as well as ensuring that communication with multiple stakeholders is always professional and productive regardless of external and internal pressures. This position requires high-level discretionary decision-making as well to deal with constant interruptions on a daily basis. Impact of errors is high and affects university reputation.


This position is a part of AUPE bargaining unit. The normal working hours are from Monday to Friday, 8:30 AM to 4:30 PM; however, some weekend and evening hours will be required.

Summary of Key Responsibilities

(job functions include but are not limited to):


Student Advising and Student Relationship


Liaise with Recruitment & Admissions to ensure a smooth hand-over of students and student relationship from Recruitment & Admissions to Student Success Manage student relationships on all elements of program delivery and program planning, including scheduling of courses, course/program requirements, program expectations, and graduation. This includes acting as first point of contact for student program inquiries Provides high level customized advising to students, to tailor programs and learning opportunities to each student, enhancing the student experience over the course of the student journey Have comprehensive knowledge and a holistic view of all opportunities and services available to students, including career development, student experience, co- and ex-curricular programs; and the ability to weave this information into advising, help student plan and curate their own student journeys, and increase student participation and engagement in these opportunities and services Analyze and understand demographics of incoming students, including students academic and professional background, expectations of student success, and goals after completing the program. Compile class profiles, synthesize key themes and students traits to support the development of student experience and career development programs Detailed knowledge of program requirement is maintained and up-to-date Ensure the accuracy, integrity, consistency, and tact in student advising and responding to student issues, to avoid misunderstanding or difficult encounters Advise students regarding class performance issues or the need for accommodation due to extenuating circumstances Administration of enrolment including full understanding and advise students on program timetables, course set-up, automated bulk course registrations, and advise students on elective course registrations Frequently monitor and report on progress of students; proactively work with students to ensure program requirements are met Ensure graduating students have met all relevant criteria to graduate Communicate with students, and answer inquires, in a timely and friendly manner Keep informed of and anticipate changes to University and HSB policies that will influence student needs and advising Advise students on international exchange (incoming and outgoing) opportunities Aware and understand of other student services offered by the School and the University, and refer students as appropriate

Student Services


Coordination, administration of, and be the expert in a specialized portfolio in support of the Master's programs and advise other graduate program specialists (eg: international exchange (incoming/outgoing), diverse student populations, scholarship and awards, course set-up, enrolment management, communications, student administration systems, and website and learning system information maintenance) Participate in the planning and execution of student-facing events such as conversion, orientation, graduation, and career development events Navigate and manages effective working relationships with faculty and staff members Consults and assists other Graduate Student Services Specialists Collaborate with the rest of Student Success team to ensure a seamless program and student experience that reflect the expectations of HSB and the students Performs other related duties as required

Performance Measurement and Continuous Improvement


Assist the Manager, Graduate Student Experience to collect and report data, in support of performance measurement and improvement of student services Develop and administer surveys, gather and analyze data related to the specialized portfolio, and make recommendations and/or decisions as required Ensure appropriate and accurate records are kept Identify gaps and brief Manager, Graduate Student Services on student needs and implications for policy, student services, experiences and operations, and makes recommendations to improve the quality of student services and its delivery

Qualifications / Requirements:



An undergraduate degree in business or areas of analytics such as economics, math, or science is required. A graduate degree in these areas is preferred A minimum of 5 years of experience in student services and student experience, including advising, career development, employer and community relations, and program implementation is required Experience and knowledge in experiential learning is preferred Experience with survey development and administration, and data analysis is preferred Holistic understanding of the graduate student journey and students needs in each step of the journey is required In-depth knowledge, experience, and the ability to apply university student affairs policies, procedures is required Ability to interpret and apply Faculty of Graduate Studies and Haskayne rules and regulations pertaining to programs leading to course-based Master's degrees, including complex and changing situations is required Ability to interpret the scheduling and timing of student services and development program offerings is required Demonstrable experience in working within a collegial university culture to accomplish deliverables Experience in working and dealing with diverse populations is required Proven intermediate skills in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint, and Access) is required Must possess knowledge of and demonstrable experience with student information management systems: PeopleSoft Student Administration, D2L, Qualtrics, Orbis Outcome Ability to use advanced negotiation skills when working with multiple stakeholders to reach solutions for individual students and to deal with unique circumstances is required Must have proven excellent interpersonal skills appropriate to student-centric advising (listening, conflict resolution, diplomacy, patience, empathy), including the ability to be firm and make tough decisions A positive and professional attitude and the ability to work independently and productively as part of a team are critical to success Must have a clear and confident speaking voice, strong listening skills, and an ability to ask questions to clarify or request information. The role may include presenting, group advising, recruiting, and etc. Excellent organization, time management, analytical and problem skills are required. Must have ability to handle many complex tasks in parallel, while meeting deadlines and maintaining accuracy and quality control in a high pressure environment Multi-tasking and weighing of situations with full understanding of the impact of decisions Ability to work in a fast-paced environment with high interruptions from student, phones, emails, staff and other inquiries Proven ability to use discretion with confidential material. Understands and maintains confidentiality, demonstrating diplomacy and good judgment Must be able to remain calm in demanding situations, and appropriately deal with stress resulting from these situations Must be open to learning and development, and be willing to accept new challenges and assignments
