Position Summary




Responsible for the administration and oversight of employee and retiree benefit programs across Canada and the United States. This role ensures the effective delivery of benefit offerings by partnering closely with vendors. Acts as a key point of contact for employees and retirees, providing guidance on insurance, healthcare, and other benefit-related inquiries. Identifies and resolves issues to ensure benefit programs operate as intended

Major Responsibilities / Accountabilities



Benefit Administration: Collaborate with benefit plan vendors, third-party administrators, People Business Partners, and employees to ensure effective communication, seamless administration, and timely resolution of employee benefit-related matters. Coordinate and process benefit-related events including new hires, qualifying life events (QLEs), and terminations. Ensure all employee records are accurately maintained and updated in the HRIS system in a timely and compliant manner. Serve as a primary point of contact for employees and retirees, providing guidance and support on benefit inquiries, plans, and eligibility. Address retiree-specific matters such as new retirements, rate adjustments, plan transitions, Medicare coordination, and death notifications. Administer COBRA subsidies as required, ensuring compliance with federal regulations and internal policies. Oversee and troubleshoot data integrations across various benefit platforms to ensure accurate and consistent information flow between systems. Navigate multiple benefit plans tailored to different employee groups, including hourly, salaried, unionized, executive, and retiree populations, each with unique requirements, eligibility criteria, and vendors. Support annual processes related to benefits and payroll, including Single cash payments, Health Savings Account (HSA) contributions, Life insurance reporting for W-2s and T4s, Quebec-specific taxable benefit reporting.
Open Enrollment & Benefits Communication: Support the open/annual enrollment process for both U.S. and Canadian employees and retirees. Partner with internal teams, external vendors, and benefit carriers to ensure a smooth and informative open enrollment experience. Provide support to employees and retirees by addressing questions and guiding them through the enrollment process. Actively participate in benefit-related events such as benefit fairs, open enrollment meetings, vendor presentations, and employee training sessions. Assist in organizing and facilitating these events to maximize employee engagement and understanding. Develop, update, and maintain a wide range of benefit communication materials, including enrollment guides, checklists, microsites, Workday user guides, and administrative procedures. Contribute to system implementations, integrations, and updates related to benefits administration. Participate in testing, provide feedback on system functionality, and support. Provide new hires with education materials, support enrollment and promotion of 35% company benefit and reward programs. Partner with internal teams and external vendors/brokers to promote with company's benefit offerings by communications, presentation, webinars.
Reporting, Compliance, Data: Prepare and submit regulatory filings related to employee benefit plans. This includes, non-discrimination testing, plan valuation files, and other compliance documentation to ensure adherence to federal, state, and provincial regulations in both the U.S. and Canada. Coordinate and support internal and external audits of benefit plans. Stay informed of changes in benefits-related legislation and regulatory requirements. Ensure that all benefit programs and processes remain compliant and that any necessary updates are implemented promptly. Prepare and submit annual social reporting, benefit inventory reports, and responses to external surveys from industry partners, consultants, and benchmarking organizations. Assist in processes related to benefit utilizations and costs to support budgeting for benefit expenses. Update and maintain plan documents and internal communications ensure accuracy and alignment with current procedures and standards.
Communication Management & Team Support: Management of Total Rewards email inbox, triaging incoming inquiries, prioritizing urgent matters, and ensuring timely and accurate responses. Coordinate with internal and external vendors to resolve issues efficiently and maintain a high level of service. Work closely with team members to share knowledge, support cross-training efforts, and contribute to a collaborative and high-performing team environment. Provide back-up support to other members of the Total Rewards team.

Nature & Scope



Position typically works with all levels of P&E team, as well as all levels of employees (both individual contributors and people leaders), providing information and advice regarding benefits. External contacts involve many of our benefit vendors. Communications frequently contain both time-sensitive information and data of a sensitive or confidential nature.

Key Competencies




a. Education: Business Degree (Human Resources) required, diploma is preferred.


b. Experience / Background: 3-5 years' experience with benefit & pension administration in Canada. Experience with US benefits and pensions is a plus.


c. Required Skills/Competencies: Advanced technical proficiency in all Microsoft Office applications. Experience with Workday and reporting an asset. Excellent organizational, communication and interpersonal skills. Good understanding of Canadian & US benefit processes and designs.
