We are seeking a detail-oriented and organized Shipping & Receiving Coordinator to join our dynamic team. This role is critical in coordinating shipments, supporting drivers, maintaining accurate records and ensuring smooth day to day operations at our busy facility.

Key Responsibilities:
Shipping and Receiving Coordination
Oversee inbound/outbound truck traffic through the scale system.
Verify shipping documents, pick sheets, and sales orders.
Communicate with drivers, forklift operators, and dispatch to ensure loads are handled efficiently.
Track shipments daily in Smartsheet, Excel, and Outlook.
Notify head office of late or undelivered shipments.
Documentation and Record Keeping
Accurately weigh and record raw materials and finished products.
Maintain Trucking Log, Dispatch Log, and Shipping Summaries.
Ensure all paperwork (pick sheets, sales orders, weight tickets) is filed, scanned, and distributed correctly.
Enter receipts and adjustments into systems (Smart Sheets, QuickBooks).
Customer & Driver Support
Act as the first point of contact for truck drivers and visitors.
Answer phones, emails, and radio calls promptly.
Handle cash/debit/credit sales for walk-in customers and maintain petty cash records.
Provide receipts and resolve minor discrepancies.
Other Duties (not limited to)
Assist with inbound pallet, fertilizer, and raw material deliveries.
Coordinate with head office sales/accounting for account customers.
Support plant managers and operations staff with administrative tasks.
Ensure end-of-day reporting is completed accurately and on time.
Qualifications
Previous experience in shipping/receiving, logistics, or office administration preferred.
Strong attention to detail and ability to multitask in a fast-paced environment.
Excellent communication skills with truck drivers, colleagues, and the public.
Proficient in Microsoft Office (Excel, Outlook, Word) and comfortable with database entry (Smartsheet, QuickBooks an asset).
Strong organizational and problem-solving skills.
Ability to work independently with minimal supervision.
Work Conditions
Fast-paced office environment inside a shipping/receiving scale house.
Frequent interaction with drivers, management, and the public.
Extended periods of sitting and computer work.
Overtime may be required during peak season (March-July)
