Job Summary
Multicultural Helping House Society (MHHS) is seeking a dedicated and highly organized Senior Coordinator to lead and support seniors-focused programs, workshops, events, and client services. The Senior Coordinator will play an essential role in delivering meaningful activities for seniors, conducting comprehensive needs assessments, providing accurate referrals, and ensuring high-quality service coordination. This position also oversees reporting requirements, supports program development, and helps strengthen partnerships that improve seniors' well-being in multicultural communities.
Key Duties and Responsibilities
1. Seniors' Programs, Workshops, Events, and Activities
Plan, organize, and implement seniors' workshops, information sessions, recreational activities, and community events.
Coordinate day-to-day operations of seniors' programs to ensure smooth, timely, and effective service delivery.
Support instructors, facilitators, volunteers, and staff involved in program activities, including scheduling, logistics, and workflow coordination.
Conduct outreach to engage seniors in available MHHS programs and community initiatives.
Conduct comprehensive seniors' needs assessments and identify appropriate supports.
Provide clients with accurate referrals to community resources, health services, government benefits, and social supports.
Assist seniors with paperwork, applications, and accessing available benefits and services.
Provide case management follow-ups to ensure ongoing support and maintain detailed, confidential client records.
3. Reporting, Documentation, and Data Management
Prepare and submit program reports, statistics, summaries, and documentation in accordance with funder and MHHS requirements.
Maintain accurate data in databases, attendance sheets, and client tracking systems.
Support program evaluation by compiling information and identifying trends in seniors' needs and participation.
4. Coordination, Administration, and Partnership Support
Liaise with community partners, senior-serving organizations, and service providers to strengthen networks and enhance program delivery.
Monitor program budgets, expenses, and procurement processes as assigned.
Prepare program communication materials, including newsletters, flyers, outreach materials, and social media content.
Ensure compliance with MHHS policies, funder guidelines (including IRCC where applicable), confidentiality standards, and program protocols.
Provide administrative support such as scheduling, minute taking, filing, and drafting correspondence.
Identify service gaps and contribute to the development of new seniors' initiatives aligned with MHHS priorities.
Represent MHHS at community events, outreach activities, meetings, and partnership gatherings.
Qualifications
Post-secondary education in Social Work, Community Development, Gerontology, Education, Public Administration, or a related field. Equivalent experience may be considered.
Minimum 2-3 years of experience in seniors' programming, community development, settlement services, or related nonprofit roles.
Experience working with seniors, immigrants, refugees, families, and diverse cultural communities.
Skills and Abilities
Strong organizational, coordination, and time-management skills.
Excellent interpersonal and communication skills (written and verbal).
Ability to work independently with minimal supervision and collaboratively within a multicultural team.
High attention to detail and effective problem-solving abilities.
Demonstrated leadership in supporting staff and volunteers.
Proficiency in Microsoft Office, Google Workspace, databases/CRM systems, and digital communication tools.
Ability to handle sensitive client information with professionalism, confidentiality, and cultural humility.
Strong event planning, workshop facilitation, and community engagement skills.
Ability to adapt to shifting priorities and work in a fast-paced, multicultural environment.
Fluency in additional languages beyond English is an asset.
Other Requirements
Must be legally eligible to work in Canada.
Successful completion of a Vulnerable Sector Criminal Record Check.
Availability for occasional evenings or weekends based on program schedules.
