Our client is a Canadian-based global mining company looking to add a talented Senior Payroll Specialist to their payroll team. The role will report into the Senior Manager, Payroll and help with the following; Manage and assist with the preparation and processing of various payrolls for employees, including auditing and approving US payroll, ensuring compliance with relevant laws and regulations, assisting in the preparation of tax filings, and maintaining accurate records of employee compensation and benefits. Contribute to the design and development of processes, practices, and methodologies related to payroll. Uphold service and/or operating standards (internally and externally) with a focus on accurate and timely payment to all staff.

Additional responsibilities is as follows:

  • Assist with payroll processing: Independently prepare and process payroll for employees, ensuring that all calculations are accurate and that employees are paid on time. This might include tasks such as data entry and import, reconciliations, calculating retroactive adjustments, performing gross up calculations, verifying deductions and taxes, processing garnishments, and reviewing outputs and deliverables from service provides to ensure accuracy and integrity.
  • Approve payrolls and filings: Independently review and direct the work of payroll specialists on the team, review changes and sign off audits, manage out of sequence payrolls, contribute to, and manage projects or programs, use best practices and knowledge of internal or external business issues to improve services. Review tax filings, such as the T4 and W2s slips, as well as other required reports. Maintain rigorous control standards.
  • Perform and oversee ongoing payroll tasks: Lead and participate in routine and non-routine quarter and year-end payroll tasks, including analysis and review. Manage or act as a main contributor on Payroll and/or Finance/HR projects and IT software implementation projects.
  • Ensure compliance with laws and regulations: Proactively keep up to date with Canadian and USA employment and payroll tax laws and trends to ensure that payroll processes comply with all regulations. Research, analyze, and proactively engage with government bodies or advisors on payroll-related questions to support decision making and improve processes. Act as one of the primary contacts for legislative/governmental bodies for external payroll-related questions. Actively seek mentorship and demonstrate interest in continuous learning to improve technical knowledge and skill set.
  • Act as a resource: Provide support, guidance, and training to colleagues with less experience, identify solutions to non-standard requests, manage project teams, and work collaboratively with members of the human resources and accounting teams to ensure the smooth operation and recordkeeping of payroll processes and systems.
  • Maintain accurate records: Prioritize accurate recordkeeping including employee changes to compensation and benefits, such as deductions and vacation. All payroll-related documentation needs to be completed and retained accurately and timely for audit purposes.
  • Provide exceptional customer service: Actively manage external service providers, liaise regularly with other departments including accounting and human resources, respond to a variety of internal and/or external requests related to payroll, and provide support for internal/external audit requests or questions. Generate and distribute routine and non-routine required documents, reports, and analyses for various departments. Participate in tasks forces and ad-hoc projects related to area of expertise. Maintain absolute confidentiality in all payroll and human resources related matters. Handle individual employee inquiries with respect and professionalism.

Job Requirements:
  • University degree in accounting, business, human resources, or related field
  • PCP or PLP designation
  • 5-8+ years of related work experience
  • Possess strong computer skills and intermediate knowledge of Microsoft Office, including Excel
  • Proficiency in payroll software and accounting systems
  • Sound knowledge of payroll policies, practices, and procedures
  • Expert knowledge of Canadian and USA employment and payroll tax laws
  • Strong analytical and problem-solving skills; ability to exercise judgement and implement solutions with minimal direction
  • Excellent time management skills, with the ability to organize, prioritize and meet both known and ad-hoc deadlines
  • Experience auditing payroll systems and processes
  • Ability to work with all levels of the organization; experience with a multi-site organization
  • Excellent communication and interpersonal skills (verbal and written)
  • Strong leadership skills
  • Excellent commitment to accuracy and attention to detail
  • Basic understanding of SOX requirements
  • Experience with JDE and/or ADP is an asset
