We are currently seeking a
Senior Nursing Administrative Assistant
to support our Care Department and contribute to the smooth and efficient operations of our Home.
About the Role
The
Senior Nursing Administrative Assistant
provides essential clerical and administrative support to the Care Department, ensures professional and welcoming front-desk reception, and coordinates the activities of the part-time Nursing Administrative Assistants. This role reports to the Director of Care and also provides backup support to the Office Manager. The successful candidate will thrive in a fast-paced, resident-centred environment and demonstrate strong organizational, communication, and customer service skills.
Key ResponsibilitiesStaff Scheduling & Call-Ins
Prepare accurate staffing schedules in accordance with the Collective Agreement and established guidelines.
Coordinate and lead shift replacements for staff call-ins, maintaining professionalism and courtesy at all times.
Verify staff swipes for payroll accuracy and maintain job posting documentation.
Reception & Customer Service
Provide a warm, welcoming, and professional presence at the front desk.
Greet and assist residents, families, visitors, and respond to telephone inquiries.
Address resident and family concerns promptly and communicate issues to the appropriate manager.
Support and model a strong customer service culture.
Administrative Support
Provide day-to-day administrative assistance to the Director of Care and Assistant Director of Care.
Support office functions and back up the Office Manager during vacations or absences.
Assist other departments as needed and ensure front-desk organization at all times.
Communication & Teamwork
Maintain effective communication within the Care Department and across the Home.
Demonstrate dependability, accountability, and teamwork, including strong attendance and availability.
Report changes in resident condition to Registered Nursing staff.
Participate in in-services, training sessions, and departmental meetings.
Workplace Health & Safety
Contribute to a safe working environment by following all safety procedures and guidelines.
Report hazards or incidents promptly.
Support safety initiatives including Fire Prevention, Infection Control, and Occupational Health & Safety programs.
Qualifications
College diploma in Business Administration or equivalent education/experience.
Strong interpersonal, communication, and customer service skills.
Ability to remain professional, calm, and organized in a busy, public-facing workspace with frequent interruptions.
Strong computer skills; ability to learn new systems.
Typing speed of at least 50 wpm.
Knowledge of PointClickCare is an asset.
Dependable and dedicated, with a strong attendance record and ability to work overtime as needed.
Experience in healthcare administration, scheduling, or unionized environments is considered an asset.
