The Bi-lingual Senior Human Resources Generalist will support Doka Canada primarily with recruitment, talent/performance management and retention of employees across in the East of Canada and secondarily support managers and employees on a variety of HR initiatives including payroll/compensation and benefits support, training and development, disability management, legal compliance, and ways to create a diverse & inclusive culture. This role also works collaboratively with the Payroll & HR Advisor to provide support in payroll processing for Doka Canada (primarily for Toronto and Montreal locations) and provincially legislated compliance issues across Canada. The individual hired in this role must possess highly developed inter-personal skills, be naturally dispositioned to recruit and train new employees, and finally be adaptable to changing priorities and self-motivated to meet deadlines. Key Responsibilities: Recruitment, Selection & Onboarding:
  • Works with Head of HR \xe2\x80\x93 Canada to define (new) role requirements, advise clients on existing role requirements, develop role profiles as required, and conduct job analysis
  • Conducts full recruiting process through applicant tracking system (Smart Recruiters), interviews alongside hiring managers, tests (when required), and supports the selection process alongside the Hiring Managers (and HR colleagues) to fill vacant positions (for all positions below Senior level management);
  • Supports new hire process including the preparation, distribution and processing of Offer Letters
  • Facilitates movement of existing people talent within the organization based on operational changes and needs, revising organization charts as required;
  • Works with recruitment agencies across Canada to update rates for hourly hires, coordinating with reps on a multitude of issues including work permit status, collecting paperwork and reviewing invoices for approval
  • Supports onboarding of new employees including sending, gathering and entering new hire paperwork
Payroll, Compensation & Benefits:
  • Provides payroll specific support to all Doka employees (with a focus on Eastern Canada locations) supporting the Payroll & HR Advisor to ensure timely and accurate bi-weekly payroll entry and processing in ADP;
  • Works collaboratively with the Head of HR \xe2\x80\x93 Canada on compensation analysis for workforce transitions; presents recommendations for new hires, promotions, transfers
  • Participates in compensation reviews for applicable client groups, including base pay review and STIP (Short Term Incentive Plan) administration, and distribution of employee letters (merit, market adjustment, etc);
  • Works with the Head of HR \xe2\x80\x93 Canada in constructing business cases when submitting special cases for salary increases, bonuses, etc. as applicable
  • Administers Canada Life benefits programs such as life, health, dental and disability insurances, pension plans, vacation, sick leave, leave of absence, and employee assistance;
  • Educates employees on the process, benefit entitlements and maintains regular communication;
  • Coordinates disability management process, including any accommodations for return to work plans to avoid business risk;
  • Implements salary increases and bonuses as instructed;
Employee HR Support:
  • Manages conflict situations, working closely with managers to ensure employee relations issues are handled professionally and timely, minimizing business risks;
  • Communicates proactively of HR topics (ie. supporting town halls, leadership / operational team meetings, etc.) to improve the employer-employee relationship;
  • Addresses employees complaints and conducts investigations as needed;
  • Provides advice, council, support and coaches managers and employees as required;
  • Coaches managers and employees on performance management, including company performance reviews and Individual Development Plans (IDPs);
  • Supports and prepares Performance Improvement Plan (PIPs), applying progressive discipline principles as appropriate;
  • Provides guidance, direction and advice to third level management and employees regarding employment related issues including, but not limited to, the interpretation of company policies & procedures, recruitment & selection strategy, performance management, terminations, strategic planning, training & development and benefits administration;
  • Works closely with applicable client groups to facilitate promotions, transfers, relocations, retirements, and terminations in a professional manner;
  • Ensures balance between organizational and employee needs, conducts layoffs and/or terminations as required, escalates issues with terminated employees during negotiations to the Head of HR, as applicable
Other HR Initiatives:
  • Supports managers and employees with performance management (WeDevelop) program, development plans and goal setting throughout the year;
  • Promotes, supports and trains on various internal training resources available to managers and employees
  • Conducts talent assessments and identifies next leaders through succession management initiatives and programs;
  • Supports the roll-out of various corporate initiatives (ie. Loyalty & Dedication Bonus Program, Rewards & Recognition Program, etc), as required
  • Trains / Aids others as required on how to navigate through systems (ex. SAP, ADP, WeDevelop, etc)
  • Participates actively in new / developing HR initiatives as required
  • Completes ad hoc reports as required;
  • Other HR items as needed


Qualifications
Required Knowledge and Experience
  • Post-secondary school education in Human Resources Management or Business Administration
  • Working towards the CHRL designation, an asset
  • 5 \xe2\x80\x93 7 years of experience in a progressive Human Resources role
  • 1 - 2 years experience processing payroll (ADP system preferred) or similar;
  • Excellent computer skills including proficiency in MS Office (Outlook, Excel, Word, PowerPoint, etc.) with a specific focus on Excel and merge skills
  • Solid working knowledge of the major elements of Human Resources and its systems and processes;
  • Superb knowledge of HR principles and procedures for personnel recruitment, interviewing, selection, training, compensation and onboarding
  • Ability to handle confidential information with integrity and professionalism
  • Ability to solve problems of moderately complex in nature and make routine recommendations;
  • Ability to work proactively and positively as part of a team acting with a sense of urgency and/or deadlines;
  • Great customer service and \xe2\x80\x9ccan-do\xe2\x80\x9d focus;
  • Excellent interpersonal skills; able to liaise and form positive relationships with all levels of employees and management, including a full diversity and inclusion outlook
  • Superb oral and written communication skills in both English and French, REQUIRED;
  • Previous ERP experience, in particular working experience with SAP considered an asset
Communication This position involves extensive daily interaction with colleagues, particularly human resources, finances and management and the incumbent must be comfortable doing so. Communicates effectively with all levels of management and employees internally and various candidates and providers externally. Regular interaction with employees is expected. Mental Effort This position requires the ability to think strategically and analytically. Able to envision the broader picture, is naturally detail oriented and understands the impacts of his/her accountabilities as they relate to the entire company. Position requires the ability to work in a fast-paced environment, to be organized and to manage strict deadlines. Working Conditions Working conditions is primarily internal in an office environment: dry, cool, and well lit. Office has adjoined warehouse and yard setting with exposure to noise, dust and extreme weather conditions.
