Role Overview
The
Case Processing Manager
is responsible for overseeing the full immigration case lifecycle within the firm. This senior role ensures applications are prepared accurately, submitted on time, and fully compliant with IRCC and PNP regulations. You will supervise the case processing team, maintain quality control, ensure efficient workflow, and support high-quality client service delivery.
Key Responsibilities1. Case Management & Processing
Oversee preparation, review, and submission of immigration applications (study permits, work permits, visitor visas, PR, PNP, Express Entry, family class, LMIA, etc.).
Review client documents for accuracy, completeness, and regulatory compliance.
Conduct final quality control before submission.
Stay updated on IRCC/PNP program changes and adjust internal procedures accordingly.
Manage complex or urgent cases and communicate effectively with IRCC, employers, and clients.
2. Team Leadership & Workflow Coordination
Supervise Case Processors/Assistants and distribute workload effectively.
Provide training, coaching, and technical guidance on immigration procedures.
Conduct ongoing performance check-ins to ensure quality and productivity.
Maintain team schedules and ensure timely completion of all case files.
3. Client Communication & Service Excellence
Serve as the escalation point for high-priority client concerns or case inquiries.
Ensure the team provides timely and clear updates to clients.
Attend client meetings to explain requirements, timelines, and next steps.
Maintain a professional and supportive relationship with all clients.
4. Compliance, Reporting & Documentation
Ensure all case files meet IRCC, PNP, and internal compliance standards.
Maintain accurate case notes, checklists, CRM records, and submission logs.
Track processing timelines and produce weekly reports on case status and team performance.
Ensure strict confidentiality and secure handling of client information.
Support internal audits and quality assurance initiatives.
5. Process Improvement
Identify and implement workflow improvements to enhance efficiency.
Develop and maintain SOPs, internal training documents, templates, and checklists.
Collaborate with management to improve client experience and service delivery.
Recommend tools or technologies to improve case management systems.
6. Additional Duties
Participate in internal training on immigration procedures and firm policies.
Support improvements to client service tools, FAQs, and communication templates.
Assist with company events, workshops, and online seminars when needed.
Qualifications
Fluent in
English
, both spoken and written.
Legally eligible to work in Canada
(Citizen, PR, or valid Work Permit).
3-5 years
of experience in immigration case processing or consulting.
Strong understanding of IRCC, PNP, and employment-based immigration programs.
Experience supervising or mentoring staff is an asset.
Post-secondary education in business, immigration studies, or related field.
RCIC license is an asset but not required.
Proficiency with CRM/case management software and MS Office/SharePoint/Teams.
