About the Opportunity

Our client is seeking a detailed-oriented Senior Assistant, Board Administrator for a permanent, full-time opportunity (hybrid work arrangement).

Duties include but are not limited:

  • Work closely with the Executive Office Coordinator to support all administrative activities for the Executive Office and Board of Director\'s
  • Manage all meeting logistics, including management of work plans and calendars, timely preparation and distribution of agendas, notifications, and advance reading material. May serve as a recording secretary for meetings including preparation of minutes or management of confidential documents as required
  • Manage all Boards and Committee meeting logistics, including venue reservation, conference room set up, video conference link creation, catering, clean up, etc.
  • Support scheduling and coordination of orientation for new board members and ongoing education for all board members
  • Prepare and distribute correspondence, reports and documents; research and collect relevant information for more complex responses
  • Conduct routine administrative activities to support the (i.e., expense and time sheet entry, coordinate travel)
  • Prepare presentation materials using Power Point, Word and Excel programs
  • Anticipate and develop materials required for internal and external meetings
  • Perform ad-hoc assignments for the executive team as required
About You

The successful candidate will have the following:
  • At least 3-5 years work experience preferred
  • Results & detail orientated: ability to set and meet specific objectives, deadlines and commitments
  • Planning & organizing: ability to schedule and plan for multiple projects while adjusting for changing priorities
  • Highly professional and strong interpersonal skills, including maturity, diplomacy, and ability to create positive and professional relationship with all stakeholders
  • Attention to detail and high level of accuracy
  • Well-developed interpersonal and conflict resolution skills
  • Proficient and with current technology - SharePoint, Microsoft Windows, Word, PowerPoint, MS Outlook and Excel
  • Bilingual (French and English) is an asset
About the Job

This role is a full-time permanent position, offering a competitive salary of $58,000 to $70,000, along with an excellent benefits package.
